About the role
We are looking for a highly organized Project Coordinator 1 to support onsite relocation and move management activities in Virginia. This is a Contract position that plays a central role in coordinating project logistics, maintaining accurate records, and keeping communication flowing among clients, vendors, and internal teams.
Responsibilities
- Coordinate calendars, meeting logistics, and workspace reservations to support relocation planning and daily project activity.
- Prepare project documentation, status materials, and proposal support items to help the team launch and manage client engagements effectively.
- Track incoming move-related requests, organize required details, and guide each request through completion with timely follow-up.
- Develop and distribute relocation notices, move packets, labels, and other client-facing materials to keep all parties informed and prepared.
- Support onsite move execution by conducting pre-move and post-move inventories, posting signage, monitoring check-in and check-out activity, and overseeing movers during scheduled events.
- Review vendor and subcontractor billing against purchase orders or service agreements to help confirm accuracy and resolve discrepancies.
- Maintain current occupancy, move, and project records in designated systems to ensure reliable reporting and data integrity.
- Partner with property management, facilities teams, installers, and outside vendors to coordinate furniture changes, space updates, and related move services.
- Escalate unresolved issues, communicate project risks to leadership, and assist with post-move support activities as needed, including ergonomic request coordination and help desk follow-up.
Requirements
- Strong written and verbal communication skills with the ability to interact professionally with internal teams, vendors, and executive-level clients.
- Demonstrated attention to detail and the ability to stay organized while managing several tasks and deadlines at once.
- Ability to work effectively both independently and as part of a collaborative team in an onsite environment.
- Experience using Microsoft Office applications for scheduling, documentation, reporting, and general administrative support.
- Solid interpersonal skills and a customer-focused approach to handling requests, issues, and day-to-day coordination.
- Comfort working with operational procedures, policies, invoices, purchase orders, and project-related documentation.
- Flexibility to adjust work hours and travel when business needs require additional onsite support.
