About the Role

The Program Technician for Nursing and Health Occupations provides comprehensive administrative, operational, and student support for programs such as ADN, VN, CNA, and specialty certificates. This role serves as a primary point of contact for students, supporting application processes, onboarding, and compliance tracking (e.g., immunizations, background checks, certifications) while connecting students to campus resources.

Under the direction of an assigned supervisor, this position performs a full range of technical, programmatic, administrative, secretarial, advanced clerical, and routine staff and analytical duties requiring the application of specific program knowledge. The role assumes ongoing programmatic duties and responsibilities, provides technical support to administrators, faculty, staff, and students, and participates in coordinating assigned programs, projects, and services.

The Program Technician is the full journey-level technical support classification, performing diverse and moderately complex tasks independently. This role interacts regularly with a wide variety of people across the organization and provides strong support and problem-solving.

Responsibilities

  • Coordinate daily program operations for nursing and health occupations programs.
  • Maintain accurate student and program records in compliance with regulatory standards.
  • Process clinical placement documentation and coordinate clinical requirements with healthcare partners.
  • Assist with class, lab, and simulation scheduling.
  • Prepare reports, correspondence, and program materials.
  • Support application processes, onboarding, and compliance tracking (e.g., immunizations, background checks, certifications).
  • Coordinate skills lab and simulation logistics, including inventory and equipment records.
  • Assist with data tracking and accreditation reporting.
  • Coordinate events and meetings such as orientations and advisory boards.
  • Support purchasing and budget tracking.
  • Collaborate with faculty, staff, and campus departments to ensure efficient program operations and student success.
  • Perform a variety of technical, administrative, advanced clerical, and analytical duties in support of the assigned program.
  • Serve as the primary contact, liaison, and resource for assigned functions and programs with staff, students, and the public.
  • Verify and review materials, applications, records, and reports for completeness and accuracy.
  • Provide technical assistance regarding the assigned program area in person, by telephone, or online.
  • Plan and organize assigned program functions and administrative office support tasks.
  • Participate in the orientation and training of new employees; assign, schedule, and provide work direction to lower-level office staff and student workers.
  • Provide staff support to committees and groups, including preparing agendas, background materials, and minutes.
  • Prepare and proofread reports, letters, memoranda, correspondence, agreements, and other documents.

Requirements

  • Any combination equivalent to two (2) years of college with major coursework in public administration, business administration, or a related field.
  • Three (3) years of increasingly responsible administrative support experience demonstrating the ability to learn and apply policies, procedures, and guidelines.
  • Valid California driver’s license and a safe driving record may be required for some positions.
  • Applicable part-time experience will be converted to full-time equivalent for meeting experience requirements.
  • Foreign degrees must be evaluated by a professional association that is a member of the National Association of Credential Evaluation Services (NACES).

  • Principles and techniques of business letter writing.
  • Principles and practices for establishing and maintaining complex and interrelated files and information retrieval systems.
  • Principles and techniques of public relations, including receptionist and telephone etiquette.
  • Interpersonal skills using tact, patience, and courtesy.
  • Principles and practices of providing training, work direction, and guidance to lower-level office staff and student workers.
  • English usage, grammar, spelling, punctuation, and vocabulary.

Ability To:

  • Understand the organization and operation of the assigned program area.
  • Independently perform a full range of administrative and technical duties in support of program functions.
  • Exercise initiative and sound judgment in solving complex administrative and technical problems.
  • Understand and apply pertinent laws, codes, regulations, and organizational policies.

  • Respond tactfully and clearly to specialized requests, inquiries, and concerns from students, staff, or the public.
  • Research, compile, analyze, and interpret diverse data and information.
  • Prepare clear and concise administrative and financial reports.
  • Perform mathematical calculations quickly and accurately.
  • Independently compose and prepare correspondence and memoranda.
  • Plan and organize work to meet schedules and deadlines.
  • Use sound judgment and maintain confidentiality of sensitive information.
  • Operate office equipment, including computers and supporting software applications.
  • Adapt to changing technologies and learn new equipment and systems.
  • Work under pressure with frequent interruptions and high public contact.
  • Work independently and effectively in the absence of supervision.
  • Exhibit sensitivity and understanding of diverse racial, ethnic, disabled, sexual orientation, and cultural populations.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
