Key Responsibilities

  • Oversee day-to-day operations of the medical office, ensuring a seamless patient experience.
  • Develop a thorough understanding of the services, testing, and treatments provided in an allergy, asthma, and pulmonary practice, including the OIT program, to effectively support patient care and office operations.
  • Maintain compliance with healthcare regulations, HIPAA, and office policies.
  • Manage scheduling for both the clinic and providers, including workflow coordination of front and back-office staff, to optimize efficiency.
  • Handle patient concerns and resolve operational issues in a professional manner.
  • Maintain office supplies, medical inventory, and equipment to ensure smooth functioning.
  • Develop and implement office policies and procedures in adherence to MAA protocols and SOPs.
  • Serve as primary contact for landlord and IT consultant; coordinate office repairs, lease reviews, and IT network changes.
  • Monitor inbox for patient inquiries, review and approve self-scheduled appointments, and manage new patient referrals.
  • Additional duties as assigned.

Staff Management

  • Supervise, train and support front desk staff, medical assistants, and administrative personnel.
  • Work closely with HR to ensure accuracy of payroll and maintain employee records, including licensure documentation.
  • Provide primary support for the EHR and Practice Management system, including workflow monitoring and staff training.

Billing & Financial Management

  • Manage billing, insurance claims, and financial transactions in coordination with billing specialists.
  • Intake deposits from EOBs and send them to the billing department; oversee collection of patient out-of-pocket expenses and payment methods.
  • Work with internal billing team to address patient questions and concerns in a timely manner.
  • Work with administrative staff to manage the Buy & Bill program and oversee prior authorization workflow.

Inventory & Supplies

  • Manage ordering and maintenance of office and medical supplies in collaboration with marketing, nursing staff and physicians.

Qualifications & Requirements

  • BA or associate’s degree in healthcare administration, business management, or a related field preferred.
  • Minimum of 3-5 years of medical office management experience, preferably in an allergy, asthma, or immunology setting.
  • Strong understanding of medical billing, insurance verification, and revenue cycle management.

Skills & Abilities

  • Proficiency in electronic medical records (EMR) systems and office management software, preferably ModMed.
  • Excellent leadership, communication, and problem-solving skills.
  • Ability to multitask, delegate, and prioritize in a fast-paced environment.
  • Knowledge of HIPAA regulations, medical compliance, and healthcare administration best practices.
  • Strong customer service skills with a patient-first mindset.

Physical Requirements

  • Ability to stand, walk, and move throughout the clinic, if applicable, for extended periods; occasionally lift objects up to 25 lbs., bend, stoop, or reach as needed.
  • Frequent use of hands and fingers for patient care and equipment operation.
  • Must have normal (or corrected) vision and hearing and be able to respond quickly in a fast-paced clinical environment, if applicable.
