About the Role

The Practice Manager works onsite at the hospital partner daily, collaborating with the Sound Physicians team, including a Practice Medical Director, Clinicians, and a Clinical Performance Nurse. This role also involves close daily interaction with key hospital stakeholders, such as leadership and case management.

The Practice Manager is responsible for the on-site operational management and support of the Sound Physicians practice, serving as the main point of contact with the hospital. This role requires a visible presence at the hospital, providing daily support to the clinical team and removing operational barriers. The Practice Manager builds and maintains professional relationships with the practice team, hospital C-suite executives, case management, community providers, and specialty physicians.

This role works on-site at the practice within the hospital and has no travel requirements.

Responsibilities

  • Practice Operations and Support:
    • Act as the front-line liaison for the provider team with hospital C-Suite, nursing leadership, and the Sound operational team.
    • Provide executive support to the Practice Medical Director and practice team to meet contract expectations.
    • Manage office functions, including meeting management, office systems, supplies, and practice events.
    • Collaborate with the Medical Director and Practice Management Team to develop and maintain site practice policies and procedures.
    • Facilitate daily patient census/reconciliation, multi-disciplinary rounds, and home health order workflows.
    • Coordinate medical records requests, patient PCP follow-up appointments, and completion of death certificates.
    • Oversee recruiting efforts, including coordinating onsite interviews with hospital leadership and promoting a positive candidate experience.
    • Ensure onboarding and orientation for new clinicians, locums, and ambassadors, including developing and maintaining orientation checklists and policies.
    • Manage clinician recredentialing, ensuring compliance with licensing, certificates, and credentials required by Sound and the hospital Medical Staff Office.
    • Ensure clinicians obtain hospital privileging and payer enrollment prior to patient care.
    • Manage relationships with the hospital Medical Staff Office and troubleshoot barriers to on-time starts.
    • Ensure billing and documentation compliance for the practice.
    • Monitor clinician participation in mandatory compliance training, remediation, and timely query responses.
    • Participate in medical group training offered by Sound pertinent to the role.
    • Support clinicians during open enrollment for benefits and life event changes in Sound’s HR Information System.
    • Act as the point person for Human Resources relations, ensuring accurate practice rosters and compliance with employment law and Sound policies.
    • Support clinician employment agreement amendments.
    • Serve as the superuser for all software applications and as a point person for hospital software and hardware systems.
    • Establish and maintain group norms for the practice team at the direction of the Medical Director.
    • Maintain visual/management boards to support team communications and recognition.
    • Train and mentor practice coordinators as requested.
    • Encourage practice participation in Sound bedside/colleague engagement surveys.
  • Financial Operations:
    • Collect, track, and analyze all site financial and operational data.
    • Review and validate shift and productivity data for payroll processing each month.
    • Review P&L for performance and participate in budget creation and maintenance.
    • Create and optimize the clinical schedule, ensuring accurately documented shifts for payroll processing and promoting practice sustainability with no disruption to patient care 120 days in advance.
    • Participate in and support Monthly Operating Reviews and Monthly Performance Reviews focused on practice financial, clinical, and operational performance.
  • Client Retention:
    • Serve as the general administrative liaison to hospital executives and staff regarding hospital needs.
    • Coordinate practice events (team meetings, JOCs, etc.) and ensure client-facing materials are refreshed with Sound’s current standards.
    • Maintain hospital contact information and document changes in Salesforce.
    • Understand contract terms and the Sound team’s responsibilities, including renewal dates and payment terms.
    • Ensure the accuracy of the PCP database, distribute the PCP list, and manage PCP outreach for patient lists.

    • Knowledge of HR information systems and basic HR principles.
  • Education and Experience:
    • Bachelor’s degree in business administration, healthcare administration, or a related field (or equivalent work experience).
    • 3-5 years of experience in healthcare operations.
    • Experience managing a physician group practice is preferred.

Pay

Salary range: $70,000–$100,000 annually. Practice Managers are also eligible for a bonus opportunity. Exact pay will be determined based on candidate experience, geographical location, and the size/complexity of the program being supported.
