Reporting to the Director, this role is for a highly detail-oriented individual with experience in office management in an administrative or higher education setting.

Responsibilities

  • Provide operational support for the Office of Counseling and Wellness Education, managing the flow of student visits to optimize student satisfaction and provider schedules.
  • Support Counseling Center clinicians with scheduling and scanning of documentation into student charts, Telehealth Room scheduling, vendor contracts, and ordering/maintaining office and event supplies.
  • Manage day-to-day operations including triaging needs of students and visitors, handling phone calls, faxes, and emails, ensuring office is open during operating hours, and ordering supplies.
  • Schedule all clinical visits, scan student clinical forms and hospital documentation into Medicat, release medical records to alumni and transfer students, and dispose of counseling records after 7 years.
  • Prepare students for appointments by reviewing and ensuring accuracy of patient summaries.
  • Contribute to planning and implementing Counseling and Wellness-sponsored campus events (e.g., Wellness Fair, Counseling Center Speaker Series, Wellness Peer Educator events).
  • Utilize Information Technology Services including Medicat, Cobblestone, Adobe Sign, J-1, Microsoft Excel, Google Drive, and other required software.
  • Monitor and respond to communications from the Counseling Center email and voicemail.
  • Maintain the Office of Counseling and Wellness Education website, ensuring accuracy and requesting modifications as needed.
  • Assist in onboarding and orienting new professional staff, graduate fellows, and clinical interns.
  • Schedule Telehealth Room appointments and locate additional confidential spaces for students conducting outside clinical services.
  • Participate in campus-wide events such as commencement, orientation, move-in, and other Student Affairs division events.
  • Attend staff and divisional meetings.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree or above.
  • Ability to maintain student privacy, ensuring discretion in all communications about care and managing patient records.
  • Demonstrated good judgment in problem resolution and ability to act independently.
  • Expected knowledge, skills, and abilities of a professional Clinical Medical Assistant.
  • Strong interpersonal skills, computer aptitude (EHR, Google, Microsoft, etc.), and familiarity with medical terminology and procedures.
  • Knowledge of Medicat, Cobblestone, and J-1 is preferred.
  • 5+ years of office experience.
  • Experience interfacing with a population of young adult students.
