About the Role

The Office Manager partners with the doctor(s) and regional manager to ensure smooth and professional business operations. This leadership position is accountable for the success of the practice, requiring strong skills to elevate staff, deliver exceptional care, and develop the practice.

Responsibilities

  • Staff Management:
    • Conduct Patient Interaction Assessments based on relationship and communication with patients.
    • Conduct Staff Performance Assessments following Best Practices in performance of core responsibilities.
    • Recognize and connect with staff through open communication and coaching.
  • Performance Management:
    • Identify opportunities for practice growth, recommend strategies, administer action plans, and monitor effectiveness.
    • Monitor practice effectiveness through medical documentation, data collection, MWEC program compliance, and quality assurance studies.
    • Improve processes and staff training.
    • Maintain an active community presence through involvement in Eye on Community events.
  • Asset Management:
    • Ensure compliance with HIPAA and the organization’s confidentiality policy.
    • Maintain MWEC processes to comply with organizational policies and regulatory guidelines.
    • Monitor and protect practice assets, including building/grounds, equipment, inventory, and other resources.
  • Risk Management:
    • Identify and monitor key risk areas to ensure compliance with rules and regulations.
    • Review Facility Documentation Requirement List to ensure 100% compliance.
  • Financial Management:
    • Monitor financial procedures, including billing, daily deposits, reporting, and accounts receivable for efficiency and profitability.
  • Perform other duties and responsibilities as assigned by the regional manager and doctor(s).

Requirements

  • High school graduate.
  • Minimum of 1 year of previous management experience.
  • Bachelor’s degree in Business or related field preferred.
  • Experience in optometry preferred.

  • Dependable attendance pursuant to MWEC attendance policy.

Physical Demands

  • Standing for sustained periods, stooping, grasping, lifting, talking, and hearing.
  • Light work: lift up to 15 lbs regularly from floor to waist, 5 lbs from waist to shoulder, and 5 lbs overhead.
  • Visual acuity to determine accuracy, neatness, and thoroughness of assigned work.
