About the Role

A Practice Manager is responsible for the daily operations of a medical office or clinic, from managing staff to handling patient interactions. The role ensures physician satisfaction, develops the team through leadership and coaching, and maintains operational efficiency while upholding company core values.

Responsibilities

  • Manage and oversee patient census for the assigned office.
  • Monitor and adjust clinic performance, patient flow, expenditures, and doctor schedules to ensure optimal staffing levels.
  • Prepare and control the clinic budget, aiming for minimum expenditure and efficiency.
  • Develop, implement, and maintain budgetary and resource allocation plans.
  • Participate in planning and implementation of regional and company goals, programs, and objectives.
  • Partner with leadership, doctors, and clinic staff to create an accountable environment where patient care comes first.
  • Organize, manage, and coordinate all operational and administrative processes.
  • Manage support staff, including scheduling and assignments to meet operational needs.
  • Participate in human resources functions, including talent acquisition, performance reviews, merit increases, disciplinary actions, and timekeeping.
  • Provide effective leadership, coaching, development, and mentorship to staff.
  • Delegate responsibilities while enforcing policies, procedures, and standards.
  • Resolve internal staff conflicts efficiently and to mutual benefit.
  • Foster team member engagement and development of corporate culture.
  • Lead daily huddles and at least one office meeting per month to communicate updates.
  • Perform front office and back office duties as needed to ensure smooth clinic operations.
  • Work with the Compliance Department to conduct required audits (monthly, quarterly, annually).
  • Maintain strict compliance with state, federal, and other regulations (e.g., OSHA, WC, HIPAA, ADA, FEHA, DOL, HR policies).
  • Provide feedback on tactics that improve outcomes, including financial and patient-focused metrics.
  • Maintain a professional appearance and demeanor in accordance with company policies.
  • Keep commitments and inform the direct supervisor of work progress, timetables, and issues.
  • Perform other related duties or ad-hoc reporting as assigned by management.

Requirements

  • Bachelor’s degree in healthcare management, business, or a related field; minimum 3-5 years of related work and staff management experience; or equivalent combination of education and experience.
  • Operational management knowledge of retail or medical offices and best practices.
  • Thorough working knowledge of front office and back office procedures and roles.
  • Results-oriented with strong organizational, leadership, and customer service skills.
  • Ability to respond to inquiries from customers, staff, vendors, or community members professionally.
  • Ability to draw valid conclusions, apply sound judgment, and make decisions under pressure.
  • Detail-oriented, process-focused, and proactive problem solver.
  • Ability to multitask effectively in a fast-paced and sometimes ambiguous environment.
  • Ability to prioritize tasks and projects with limited direction while contributing to clinic success.
  • Valid Driver’s License.

Preferred Qualifications

  • Experience as an Office Manager and/or in the Ophthalmic industry.
  • Experience with electronic practice management systems.
  • Knowledge of Ophthalmology Clinic management and operations, as well as best practices.

Work Environment

The role is primarily office-based with controlled temperature conditions and limited exposure to hazardous substances. The noise level is usually low to moderate, with occasional exposure to irate staff, vendors, or patients. The position requires regular sitting, standing, walking, handling objects, and using standard office equipment. Occasional lifting of up to 20 pounds, stooping, kneeling, or crouching may be required. Finger dexterity is needed for computer and calculator use.

Pay

$71,760 - $83,000 per year.
