About the Role

The Practice Administrator will oversee daily operations and strategic advancement of multiple medical sites and/or specialties. This role involves comprehensive financial management, business, and clinical operations of the practices, including budgeting, material procurement, coding, billing, accounts receivable/compliance management, accounting, marketing, development, human resources, operations/planning, patient flow processes, information systems, communications, and facilities. The position requires close collaboration with clinical and administrative staff to meet daily operational and strategic objectives.

This role manages multiple sites and/or specialties, supporting a significant provider population, fiscal operations, revenue, and a substantial number of support staff. Responsibilities may include directional service line oversight, market development, and growth initiatives.

Responsibilities

General

  • Maintain daily operations and general management of the practices, including supervision of subordinate practice managers.
  • Provide support to operations management related to providers.
  • Develop educational planning programs, allocate and assign duties to employees, and monitor activities to ensure practice objectives are met.
  • Provide leadership for due diligence regarding acquisitions and divestitures.
  • Oversee all practice sites within a designated area, with responsibilities varying by geographic location and practice size.
  • Ensure comprehensive management of multiple provider support, FTE, revenue, and operating budget.
  • Foster effective communication among team members to establish productive relationships between clinical, non-clinical, and community members.
  • Ensure collection and compilation of quality assurance and clinical data for management decision-making.
  • Perform other duties as assigned.

Administrative

  • Oversee daily operations and financial control of assigned sites.
  • Organize and direct daily operations at the site.
  • Participate in recruitment, hiring, coaching, mentoring, and termination of non-physician staff in cooperation with Human Resources.
  • Oversee staff work and evaluate performance, including physician input.
  • Establish office staffing patterns and delineate job responsibilities.
  • Review and approve timesheets and other payroll materials.
  • Implement and maintain systems for procuring and maintaining adequate supplies and resources.
  • Recommend and justify capital purchases.
  • Initiate orientation, continuing education, and job development programs for non-physician staff.
  • Oversee facility management of assigned practice in collaboration with the health system and/or landlord.
  • Prepare annual management action plans and provide updates.
  • Plan and implement short- and long-term goals, objectives, and policies in relation to RGMG Service initiatives.

Financial

  • Oversee and manage the financial and statistical performance of the assigned practice, reporting to RGMG management promptly.
  • Ensure completion of required financial reporting to RGMG management.
  • Supervise activities related to charge entry, edit corrections, patient registration, and over-the-counter corrections.
  • Collaborate with the Medical Groups Business Office to ensure timely daily deposits and financial tracking.
  • Review all factors affecting operating costs and take necessary action to align costs with the budget.
  • Participate in the development of the annual budget.

Requirements

  • 1 year of relevant work experience within a practice setting.
  • 2 years of administrative leadership experience or a combination of education and experience.
  • Demonstrated communication and analytical skills, including professional billing experience, proficiency in Microsoft Excel, financial management, personnel management, team building, and interpersonal skills.

Preferred Qualifications

  • Associate or bachelor’s degree in business or a related field.

Physical Requirements

Sedentary work - Exerting up to 10 pounds of force occasionally. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods.

Pay

Pay Range: $69,000.00 - $101,852.00
