About the role
The Practice Administrator sets the tone for every appointment, manages the front desk, and handles administrative duties to create a welcoming environment. They also prepare patients for treatment and assist the doctor in providing clinical care.
Responsibilities
- Leadership & Management
- Provide leadership to office staff, fostering a positive and collaborative work environment
- Implement changes to optimize scheduling and achieve practice goals
- Manage doctor’s schedules and new patient allocations
- Ensure patient confirmations and recall management
- Serve as the primary point of contact within the practice
- Financial Management
- Ensure front desk collects all balances (copays and patient balances) with a positive attitude
- Oversee insurance verification and authorizations
- Check insurance eligibility and resolve discrepancies
- Understand patient billing basics and explain balances to patients
- Encourage use of ancillary services and products
- Monitor employee time sheets to limit overtime
- Operational Oversight
- Ensure efficient and smooth practice operations
- Coordinate staff scheduling based on patient volume and physician availability
- Oversee inventory management, ensuring timely supply orders
- Train new hires entering the practice
- Patient Experience & Satisfaction
- Encourage a patient-centered culture for exceptional experiences
- Address and resolve patient complaints and concerns promptly
- Maintain a clean and orderly office environment
- Handle repairs and maintenance issues in a timely manner
- Front Desk Responsibilities
- Greet patients upon arrival and departure
- Assist with questions and required forms
- Register new patients in the EMR system accurately, including demographic information, insurance eligibility, and document scanning
- Check-in returning patients, confirming necessary documentation
- Check-out patients, collecting copays, balances, and product costs; scheduling follow-up appointments
- Confirm patient appointments by phone, ensuring accuracy of details
- Answer and direct phone calls with a positive attitude
- Respond to emails and voicemail messages promptly and courteously
- Scan and process paperwork into the patient EMR
- Comply with OSHA safety standards and HIPAA regulations
- Run Daily Close reports, ensuring all transactions are balanced
Requirements
- High School Diploma or GED equivalent
- 4+ years’ experience in medical reception preferred

Pay
$47,000 – $52,000 per year
