Per Diem - Administrative Assistant
About the Role
Performs full clerical, administrative, and general office duties involving transcription, typing, record and file maintenance, mail distribution, and telephone reception. Provides secretarial services to a middle to upper-level management position or department, requiring an understanding of the supervisor's job content and method of operation. This role implies knowledge of department, Hospital, or University operations and procedures.
Responsibilities
- Manages schedule and coordinates meetings, including supporting complex ongoing meeting processes, capturing minutes, and distributing updates and information.
- Manages project plans, scheduling, and program reporting requirements.
- Creates correspondence, memos, presentations, and reports ensuring accuracy and timeliness.
- Answers incoming calls, greets visitors and guests, and directs them as appropriate.
- Screens incoming communications; takes and delivers accurate messages; responds to requests by gathering and providing information and referring non-routine calls to appropriate staff.
- Schedules appointments and coordinates arrangements for meetings and conferences.
- Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
Requirements
- High School Diploma or GED.
- Effective communication skills, including the ability to transmit, receive, and accurately interpret ideas, information, and needs.
- Knowledge of techniques for working constructively and collaboratively with individuals and groups.
- Understanding of customer service concepts and techniques to meet or exceed customer needs and expectations.
- Ability to adapt to changes and manage a changing environment.
- Ability to manage multiple concurrent objectives, projects, or activities, making effective judgments about prioritization and time allocation.
- Understanding of the necessity and value of accuracy and attention to detail.
- Knowledge of and ability to use office electronic calendaring software.
- Problem-solving skills, including the ability to recognize, anticipate, and resolve organizational, operational, or process problems.
Preferred Qualifications
- Bachelor’s Degree.
- 2 years of experience in an administrative role.
Physical Demands
- Lift and carry up to 25 lbs.
- Frequent sitting and standing.
- Frequent keyboard use.
- May require kneeling, bending, squatting, or performing CPR (role-specific).
