Payroll Coordinator
About the role
The Payroll Coordinator supports the day-to-day administration of payroll operations, including new hire setup, timesheet review and processing, and payroll data maintenance. This entry-level role works closely with the Payroll team and HR team to help ensure accurate and timely payroll processing for WSB staff.

Responsibilities
- New Hire & Payroll Setup (15%)
- Set up new hire records in Deltek and send new hire setup emails to relevant stakeholders.
- Process direct deposit updates and changes for employees.
- Generate and distribute iReports as needed for payroll and management reporting.
- Timesheet Processing & Support (70%)
- Review employee timesheets for accuracy and completeness; and send timesheet-related emails to staff and managers.
- Use AI tools to complete weekly timesheet audits.
- Identify and follow up on missing and in-progress timesheets to ensure timely submission.
- Oversee the timesheet approval process, moving timesheets from in-progress to submitted to approved, and posting all approved timesheets.
- Respond to and resolve timesheet tickets submitted by employees.
- Process transaction entries and post timesheets in the payroll system.
- Data Maintenance & Recordkeeping (15%)
- Audit and update employee allowances on a weekly basis.
- Enter PTO for future pay periods as requested.
- Perform other duties as assigned.
- Update employee records as necessary.
Requirements
- High School diploma or equivalent required.
- Preferred: Associate’s degree in Accounting, Business, or a related field.
- 1-2 years of payroll, accounting, or administrative experience.
- Experience with payroll or HRIS systems (Deltek preferred) is a plus.
- Strong attention to detail and ability to maintain confidentiality.
- Proficiency with Microsoft Suite Products (e.g. Outlook, Excel, Word, PowerPoint, SharePoint, OneDrive, etc).
Work Environment
- Work is primarily performed in an office environment with standard office equipment.
- May remain in a stationary position for extended periods.
- May be required to work onsite at a WSB office, as needed, up to five days per week, as required by the project, client, or hiring manager.
