Job Summary
Responsible for scheduling appointments as directed by referral, physician order or in response to patient requests. Supports a team-centered approach to efficient and timely scheduling of patient appointments.
Key Responsibilities
- Update referral, demographic, and insurance information in the practice management database.
- Schedule office and procedure visits utilizing physician appointment parameters and preferences.
- Update referral and recall entries in practice management system.
- Make decisions regarding safe procedure preparation and scheduling based on physician preferences.
- Select preparation information to provide to the patient and provide verbal patient education for procedure preparation to supplement written information.
- Call preparation prescriptions to pharmacy when the patient will be unable to receive the prescription by mail.
- Communicate special appointment follow-up needed prior to the patient appointment to the clinical and/or endoscopy staff.
- Evaluate referrals and direct messages against individual physician preferences and practice guidelines and initiate patient contact within 24-48 hours of request.
- Notify referring physicians of patient appointments or inability to schedule patient.
- Specialty scheduling included but not limited to: BRAVO, CAP, EMR, ERCP, ESD, EUS, FMT, PEG, PNE, and Hospital appointments.
- Maintain wait list and reports for follow-up appointments after clinic and endoscopy.
- Monitor portal and g-reminders for patient communication.
- Optimize use of physician or physician extender time by monitoring and condensing schedules.
- Pick-up tasks and portal inbox messages for central scheduling.
- Process hospital and contact patients for scheduling follow-up and send all clinical follow-up to the appropriate clinical team member.

Training and Compliance

Physical Demands
- Regularly required to speak and hear.
- Understand/comprehend English as well as read/follow written English instructions.
- Routine use of standard office equipment.
Work Environment
- Largely a sedentary role; however, some filing is required.
- This position requires the ability to occasionally lift office products and supplies up to 20 pounds.
- This job operates in a professional office environment.
