About the Role
The Parts and Shipping Coordinator ensures the timely availability, tracking, procurement, and distribution of parts and materials to support manufacturing operations and customer requirements. This role collaborates with customers, purchasing, inventory control, production, warehouse, and logistics teams to maintain efficient workflow, accurate inventory records, and minimize downtime due to parts shortages.
Responsibilities
- Coordinate the timely fulfillment of customer parts orders, ensuring accuracy and on-time delivery.
- Process customer quotes, sales orders, purchase orders, and shipment documentation using the ERP system.
- Monitor inventory levels and maintain accurate records of parts and materials to support operational requirements.
- Receive, inspect, and verify incoming shipments while resolving discrepancies related to damaged, missing, or incorrect items.
- Pick, pack, and prepare parts and materials for domestic and international shipment.
- Create shipping labels and complete required documentation for shipments via UPS, FedEx, DHL, and other freight carriers.
- Collaborate with purchasing, warehouse, production, and logistics teams to ensure parts availability and efficient workflow.
- Track shipments and communicate order status, delays, shortages, and delivery updates to customers and internal stakeholders.
- Support new machine sales projects and spare parts orders by maintaining accurate project records and coordinating logistics activities.
- Assist with inventory audits, cycle counts, reporting, and continuous improvement initiatives to enhance inventory accuracy and customer service.
- Perform all other duties as assigned.

Education and Experience
- Associate degree in Business, Supply Chain, Logistics, or a related field preferred.
- Minimum of three (3) years of experience in customer service, sales support, parts coordination, logistics, inventory control, or a related role.
- Technical or mechanical aptitude with the ability to learn industrial equipment, parts, and manufacturing processes.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and other business software applications.
- Experience working with ERP systems (Microsoft Dynamics AX or similar) preferred.
Physical Demands
- Ability to sit, stand, walk, bend, and reach throughout the workday.
- Ability to lift and move up to 25 pounds occasionally.
- Ability to work in an office, warehouse, and manufacturing environment as needed.
Travel
Up to 10% travel may be required.
