This position plays a vital role in supporting marketing, programming, and event operations by ensuring all initiatives are organized, accurate, and executed seamlessly. The role involves managing marketing collateral, coordinating content across channels, maintaining up-to-date event information in internal systems and calendars, and partnering closely with vendors, influencers, and internal teams to organize marketing assets and align on deliverables. Strong communication skills, conflict resolution abilities, and a thorough understanding of Bunkhouse policies are essential. All employees are expected to greet guests warmly and uphold the company’s culture, values, and reputation.

About the Organization

Opened in fall 2018, Carpenter Hotel is a South Austin hotel integrated with its lush surroundings. The hotel features a pool with a community deck and Q Hut pavilion, and each of its 93 rooms includes a terrace. Guests can enjoy fare from the all-day Coffee Bar or dine in the restaurant, Carpenters Hall. The hotel is nestled in an old pecan grove on the edge of Zilker Park, offering easy access to Lady Bird Lake, downtown Austin, and local attractions.

Responsibilities

  • Marketing + Programming Admin
    • Manage ordering and distribution of printed marketing collateral
    • Input event art and copy into all marketing channels
    • Source and order additional event collateral (e.g., wristbands)
    • Input all event details into project management programs, including:
      • Outlook calendar invites with BEO link
      • PR worksheet
      • Envision Master programming calendar
    • Provide social media support
    • Manage event partner accounting and workflow to ensure on-time payment for vendors
    • Follow up with accounting and vendors to coordinate check pickup or mailing
  • Marketing Partner Coordination
    • Coordinate with PR and influencers on agreements, deliverables, and reservations
    • Acquire, organize, and distribute event partner marketing assets (photography, copy, descriptions)
    • Share final art with partners to confirm details as needed
  • Event Management
    • Send vendor/partner payment SOPs and contracts
    • Create BEOs and input all event details into Envision software
    • Coordinate with the F&B team to develop event specials
    • Review events at BEO meetings with property teams and create setup site plans and timelines
    • Build out timelines, menus, routing info, floor plans, FFE/OSE needs, and pricing
    • Ensure all event collateral is delivered to operations and set up correctly
    • Meet with the property team pre-event to confirm setup
  • Day-of Event Point of Contact
    • Connect with partners, vendors, and property teams leading up to the event to coordinate arrival, setup, and needs (e.g., parking, green room, artist tabs)
    • Coordinate event load-ins and immediate needs of vendors, partners, and property teams
    • Assist visiting influencers with any needs
    • Ensure event setup is executed according to the BEO
    • Gather post-event stats for reporting and input into event recaps
    • Make operational updates and improvements to BEOs for future events
  • Additional Marketing Support
    • Assist with photoshoots by reviewing and distributing day-of shot lists to property teams
    • Coordinate photoshoot logistics with Front Desk and F&B teams
    • Assist with monthly marketing reporting
    • Monitor websites and internet presence to ensure accurate information (e.g., event details, hours, policies, menus, photos)
  • Perform other duties as needed to support operations and exceed customer expectations

Requirements

  • High School diploma or general education degree (GED) required
  • One to two years of experience in marketing coordination, event planning, hospitality, or a related service industry preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to learn and navigate event management and project management platforms (e.g., Envision or similar systems)
  • Strong organizational skills with the ability to manage timelines, track details, and maintain accurate records
  • Ability to multitask and adapt in a fast-paced, deadline-driven environment
  • Strong attention to detail and problem-solving skills
  • Availability to work hours as required for events

Skills

  • Ability to speak, read, write, and understand the primary language(s) of the workplace
  • Ability to read and interpret documents such as event orders, contracts, safety guidelines, and operational procedures
  • Ability to write routine reports, event recaps, and professional correspondence
  • Effective communication with co-workers, property teams, vendors, and external partners
