Onsite Payroll Administrator
Job Description
This Payroll Clerk position focuses on union payroll processing, milestone billing, and supporting project managers with accurate billing and reporting for a large construction project. The role combines high-volume data entry, payroll administration, and accounts receivable support in a fast-paced, project-based environment.
Responsibilities
- Process union payroll from end to end, including collecting, reviewing, and entering daily labor hours into the payroll system.
- Ensure accurate payroll entry, including adjustments, corrections, and updates to employee payroll records.
- Support milestone billing by preparing accurate invoices and assisting project managers with billing accuracy and reporting.
- Prepare time and material invoices and support accounts receivable processes, including follow-up and issue resolution.
- Maintain and update employee records and payroll data to support union payroll administration and compliance requirements.
- Aid with onboarding activities, including gathering and processing new hire documentation and ensuring accurate setup in payroll and billing systems.
- Participate in investigating and resolving payroll and billing discrepancies in a timely manner.
- Utilize ERP and payroll systems to input, track, and reconcile payroll and billing data for union construction projects.
- Contribute to continuous improvement of payroll and billing processes by identifying issues, suggesting solutions, and supporting process changes.
Essential Skills
- Minimum 2+ years of experience in payroll, billing, accounts receivable, or related accounting functions.
- Hands-on experience with payroll processing, including time entry, adjustments, and payroll record maintenance.
- High-volume data entry experience with a demonstrated focus on accuracy and consistency.
- Excellent attention to detail and the ability to manage and reconcile large volumes of data accurately.
- Strong communication skills, with the ability to collaborate effectively with project managers, accounting staff, and other internal stakeholders.
Additional Skills & Qualifications
- Previous exposure to union payroll processes and requirements is highly preferred.
- Experience working with Vista ERP is a plus.
- Experience with union-specific payroll systems such as Track or similar platforms is beneficial.
- Construction industry experience within payroll or billing, particularly in a union environment, is an advantage.
- Comfort working in a hands-on, field-oriented setting rather than a traditional corporate office.
- Demonstrated ability to adapt to growing organizations and evolving project demands.

This is a Contract position based out of Belvidere, IL.
Pay And Benefits
The pay range for this position is $23.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
