Klingner & Associates, P.C. is seeking an Office Assistant to join a dynamic team in Quincy, IL where your abilities and dedication are valued.
Responsibilities
- Welcome all visitors at the front desk of the Corporate / Quincy Regional Office in a friendly and helpful manner
- Answer and direct incoming calls firmwide alongside Klingner’s other administrative assistants
- Provide support to Senior Leadership Executives by managing calendars, scheduling appointments, arranging travel as needed, and various other tasks
- Plan, organize, and execute various corporate outings and events
- Prepare memos, letters, reports, presentations, and other correspondence as needed
- Assist professional staff and project administrative staff with various project related activities
- Assist Fleet Manager, HR Manager, Talent Acquisition Committee, Marketing Department, and Accounting Department as needed
- Assist with scanning, printing, and copying jobs as needed
- Organize and maintain digital and physical filing systems
- Prepare and archive project related files
- Provide backup assistance to office receptionist
- Perform other duties as needed
Requirements
- High School diploma or equivalent required; 2+ years of college is preferred
- 5+ years of experience in a secretarial, administrative assistant, or project coordinator position is preferred
- Proficient in all Microsoft Office applications, particularly Microsoft Excel and Word
- Experience working with voice over IP phone systems software is a plus, but not required
- Excellent verbal and written communication skills (including grammar, punctuation, proofreading, spelling, interpersonal, and telephone)
- Strong organizational skills, efficient time management, and ability to understand task directions
- Ability to work and meet deadlines in a fast-paced environment with competing priorities
- Professional disposition and business casual appearance
- Knowledge of the A/E industry is a plus

Pay
Salary range: $19–$23 per hour, based on candidate qualifications.
Schedule
Full-time, 8:00 AM – 5:00 PM.
