Office and Project Assistant

Responsibilities

  • Aid in complex scheduling for the COO and other Senior Leadership Team members.
  • Handle logistics of meetings, including securing meeting space, pre-registering guests, catering, and audio/visual equipment.
  • Assist the Executive Projects Manager and SLT Project Sponsor with project coordination, resource management, and deliverable creation.
  • Reconcile expense reports for admin leaders and themselves monthly.
  • Maintain inventory and order office and breakroom supplies, focusing on cost-effectiveness and reducing waste.

Qualifications

  • High School Diploma required, Associate or Bachelor's degree preferred, or equivalent combination of education and experience.
  • 1-3 years of proven experience in office administration, project coordination, or a similar support role.
  • Exceptional time management and prioritization skills with the ability to multitask in a fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite, particularly Outlook, SharePoint, Teams, Word, and Excel, as well as Adobe Pro.
  • Demonstrated proficiency with standard office equipment, including copiers and printers, with the ability to perform routine troubleshooting.
  • Strong verbal and written communication skills; comfortable interacting with internal and external stakeholders, including executive leadership.
