About the role
The Office Administrator supports Vertical Works, Inc., Utopian Villas, Riemer Remodel, and Tumbleweed Tiny House Company. Additional responsibilities include support to the president and managing director. The role involves providing an unmatched customer service experience, including welcoming visitors, handling phone calls and emails, paperwork filing, basic accounting, office housekeeping, coordinating meetings and appointments, and clerical duties.
Responsibilities
- Welcoming visitors and handling phone calls
- Providing basic information about new homes, tiny homes, and remodeling services
- Entering new customers, updates, filings, and other information into CRM software
- Supporting the President and Managing Director
- Managing company calendars, appointments, and meeting schedules
- Processing HR and employee-related requests such as reviews, time off, sick time, etc.
- Maintaining office supply inventory and ordering
- General housekeeping of the office space
- Maintaining showroom organization and current product offerings
- Preparing for customer and vendor meetings
- Preparing, organizing, and filing documents and paperwork (both physical and digital)
- Performing basic accounting tasks such as reconciliations, payable entry, billable entry, etc.
Requirements
- Ability to return emails, voice, text, and social media messages within 24 hours
- Clear communication and ability to summarize or paraphrase to verify understanding
- High level of verbal, written, and organizational skills
- Well-organized with impeccable attention to detail
- Ability to multitask and manage time effectively
- High level of self-accountability for meetings and deadlines
- Common sense understanding to carry out tasks
- Flexibility and strong problem-solving skills
- Incorporate Vertical Works, Inc. business philosophies and best practices when guiding customers
Qualifications
- GED or high school diploma
- Previous administrative experience of 2+ years
- Experience and proficiency with computers and programs such as Google Workspace (Gmail, Drive, Docs, Sheets, Meet), BuilderTrend, and PDF creation
- Experience in the construction industry is a plus
Compensation
$20.00 - $24.00 per hour
Schedule
Monday through Friday
8-hour shift, 8am to 4:30pm
