Office Administrator
About the role
We are ARCO, a Family of Construction Companies, and we are currently seeking an Office Administrator to join our team.
Responsibilities
- Serve as the main point of contact for the office, ensuring a friendly experience for all employees, candidates, new hires, and guests.
- Prepare contractual documents for signatures as directed by Projects Managers (Subcontracts, Purchase Orders, Change Orders, AGC Agreements, Professional Service Agreements, and transmittals).
- Maintain various logs for the Project Team, including job lists for each region, vendor lists, and other lists/directories.
- Typing and preparing various items, such as letters, meeting minutes, weekly updates, memos, proposals, and outline specifications.
- Responsible for all front desk and reception responsibilities, including answering phones, greeting visitors, receiving incoming packages, coordinating mail services, and coordinating visitor access with building management.
- Monitor and respond to the needs of office administrative tasks.
- Ensure proper stock of all office supplies and equipment.
- Aid in the preparation of proposal and marketing packages as needed, including compiling proposal documents, compiling marketing materials, and assembling packages.
- Plan and prepare for meetings, events, and trainings, including scheduling, coordinating meeting location or event space, obtaining materials and preparing handouts, and coordinating food.
- Communicate with vendors and customers alongside the Project Team.
- Report any building maintenance items and act as a liaison between ARCO and the property management team to coordinate repairs and service.
- Assist with the setup and maintenance of projects in applicable management software.
- Ensure compliance with contractual documents and collect insurance and licenses from our vendors.
- Prepare office space for new hires by coordinating needed supplies, building access, and welcome gifts.
- Order gifts/flowers as applicable for special occasions.
Qualifications
- 2-10 years of related experience, construction administration experience considered a plus.
- Excellent computer skills, must be proficient in Microsoft Word and Excel.
- Extremely organized, self-reliant, proactive, and detail-oriented.
- Bachelor's Degree preferred.
