About the role

The Office Administrator supports managers and employees through a variety of tasks related to organization and communication, ensuring efficient operation of the office. They handle confidential and time-sensitive material and are familiar with a variety of the field's concepts, practices, and procedures.

Responsibilities

  • Greet walk-in customers and answer phones.
  • Aid in project bids, change orders, and correspondence.
  • Update job review logs.
  • Print for weekly schedule meetings.
  • Review payroll timesheets for job numbers; log time into projects.
  • Generate all work orders.
  • Develop and update jobs obtained reports daily.
  • Support sales staff, typing all estimates.
  • Compare purchase orders/order acknowledgments for accuracy.
  • Generate emails, memos, proposals, change orders as needed.
  • Handle municipal projects: securing plans, bonds, invoicing, etc.
  • Accounts payable support: entering invoices, generating checks for payment.
  • Manage residential driveway estimates, billing, etc.
  • Enter all awarded projects into QuickBooks, update project statuses in Pavement Layers, and invoice for commercial work and A/P follow-up.
  • Handle municipal projects: securing plans, bonds, invoicing, etc.
  • Train new office employees on office procedures, programs, and services.
  • Schedule work both commercial and residential.

Qualifications

  • Excellent verbal and written communication skills.
  • Thorough understanding of managing administrative duties and practices.
  • Excellent interpersonal and customer service skills.
  • Strong analytical and problem-solving skills.
  • Strong proficiency in MS Excel.
  • Experience in construction, paving, or asphalt preferred.

  • Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like: Rarely
  • Operating machinery and/or power tools: Rarely
  • Operating motor vehicles or heavy equipment: Occasionally
  • The ability to travel regionally or nationally: Occasionally
  • Frequent overtime, including weekends: Never
  • Office environment: Constantly
