Office Administrator
Position Summary
We are seeking a detail-oriented and proactive Office Administrator to oversee and streamline our office administrative and operational functions. The ideal candidate will ensure smooth day-to-day business operations, including scheduling of top-management meetings, general onboarding support, office management, compliance with company policies, and optimization of operational processes.
Key Responsibilities
- Proactively lead the scheduling, tracking, and rescheduling of top-management meetings, including but not limited to internal strategic meetings and external meetings.
- Manage travel arrangements and expense reporting for supported personnel.
- Act as the NJ Office Manager. Develop & manage the NJ Office supplies budget and maintain supply inventory. Identify vendors for office equipment in compliance with corporate procedures. Manage keycard access system for NJ Office personnel.
- Cook up with department heads to support company-wide operational needs and streamline workflows.
- Provide general support for the onboarding of new hires, including interface with the IT department to enable laptop configuration and setup of Concur system logins.
- Act as a liaison between departments to ensure cross-functional communication and collaboration.
- Support the senior leadership team with special projects as needed.
Required Qualifications
- Bachelor’s degree or above in business administration, operations management, human resources, or a related field.
- Minimum of 3 years of experience in administration or operations.
- Strong leadership and interpersonal skills, with the capability to manage teams and influence cross-departmental operations.
- Excellence in organizational, problem-solving, and decision-making abilities.
- Experience in project management and multi-task management.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to handle sensitive and confidential information with discretion and meticulousness.
Preferred Qualifications
- Proficiency with Concur system administration
- Familiarity with compliance regulations in federal tax administrative operations.
- Fluency in Mandarin.
Compensation and Benefits
The expected base salary range for this position is $60,000 - $80,000 annually. Actual compensation will be based on a variety of factors, including but not limited to a candidate’s qualifications, experience, and skills.
