Office Administrator
Position Summary
Responsible for ensuring the efficient day-to-day operation of the office by providing administrative support, managing office procedures, coordinating communications, events, and assisting employees, visitors, and leadership. Serves as a key point of contact at our main entrance and helps maintain an organized, professional, and productive work environment.
Essential Responsibilities
Administrative Support
- Greet customers and visitors to Rinnai in a friendly, confident, and professional manner.
- Effectively assist and direct customers and visitors to the appropriate department or individuals within the company.
- Maintain a professional appearance in the front lobby.
- Maintain organization of mailroom.
- Handling receipt and shipment of Fed Ex, UPS, and daily USPS mail in addition to ordering any needed material for UPS and FedEx shipments.
- Carry out administrative tasks such as filing, typing, data entry, copying, binding, scanning, etc.
Office Administration
- Maintain office security by following safety procedures, adding and removing employees to the security system.
- Oversee travel platform by maintaining employee registrations and assist employees as needed.
- Facilitate fleet car and fuel card program by tracking inventory, assigning pool cars, manage fuel cards, and provide monthly reports.
- Cook up company events and communications (i.e.: Employee/company events, holidays events, farwell/welcome celebrations, office openings, RAC Chat).
- Review annual service award recipient list, coordinate award orders, and communication to leaders and employees.
- Add maintenance and order inventory for Rinnai swag, security cards, and other supplies.
Additional Tasks
- Additional tasks assigned to ensure the efficient operation, health, and safety of the company.
Other
- Variety of projects as requested.
- Awareness and compliance of company Policies and Procedures.
- Observance of Rinnai’s Ethical Standards.
- Adherence to Rinnai’s Charter, Policies, Codes of Conduct, and Civility policy.
- Exhibit Cultural Beliefs.
Job Requirements
Knowledge
- Associate Degree in Business Management and/or equivalent work experience required.
- 3+ years of corporate or professional environment experience.
Skills
- Advance Microsoft Office Suite user.
Skills
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams).
- Ability to manage multiple priorities and meet deadlines.
