Office Administrator
About the role
A little about the position: Job Summary As an Office Administrator you will be responsible for ensuring smooth and efficient office operations while providing administrative support to the Plant Manager and team. This role serves as the first point of contact for visitors, customers, and vendors—both in person and through digital communication, maintaining a professional and welcoming company image.
Responsibilities
- General Office and Customer Service
- Coordinate daily office activities to ensure efficiency and compliance with company policies.
- Manage calendars, travel arrangements, and appointments for leadership and staff.
- Handle incoming calls, emails, and correspondence, including letters and packages.
- Maintain accurate records and databases.
- Monitor office supply inventory and place orders as needed.
- Prepare reports, presentations, and proposals assigned.
- Aid colleagues and contribute to team success.
- Finance, Purchasing & Inventory
- Assist with inventory.
- Maintain the purchase order log system.
- Receive merchandise and records in the purchase order system.
- Scan deposits and complete remittance form to Credit department.
- Ship merchandise/supplies ordered and with UPS and Fed Ex shipments.
- Maintain organization and direct received material to requesters.
- Shipping & Receiving
- Arrange shipping for merchandise/supplies ordered and with UPS and Fed Ex shipments.
- Other duties as assigned.
Qualifications
- A high school diploma or equivalent required; 2+ years of customer service or administrative experience preferred.
- Knowledge of office management procedures and basic accounting principles.
- Proficiency in Microsoft Office Suite and other office management software.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Ability to lift to 25 lbs. and perform standard office tasks (sitting, standing, walking, reaching).
