About the Role

Leads development and implementation of office-wide operational processes and best practices to improve efficiency, reduce costs, and support business goals. Exercises independent judgment in managing complex office logistics and solving operational problems. Establishes and maintains business organization and assists with a full range of administrative duties, including document preparations, ordering office supplies, and office furniture. Manages general business expenses. Monitors, orders, and maintains kitchen supplies, and makes coffee in the breakroom. Arrange food ordering and delivery for meetings and special events. Monitors public printers throughout the building and works with IT to have service performed in a timely manner. Orders sufficient paper and toner for all copy machines. Owns and manages office supplies, including vendor negotiations and authorization of expenditures within defined limits. May assist leaders with expense submissions. Promotes cross-functional collaboration and may engage in and execute regional corporate events, manage logistics, order items, and communicate with participants. Acts as a strategic liaison between senior leadership and cross-functional teams to ensure alignment of administrative operations with department and company goals. Works with business leaders to prepare presentation materials and manage logistics for both internal and external meetings. Works with sales team members across the business to prepare materials for project interviews. Attend leadership team meetings, as required, facilitates the agenda, and takes ownership of document management. Supports business leaders with agenda development for strategic planning sessions, as required; generates itineraries for leadership trips, arranges travel, and confirms any reservations needed. Participates in and contributes to AK/PEC event planning as the representative for the Technologies team. Also participates as a member of the ArchKey Engagement Committee, working to ensure that the Plymouth MN office participates in ArchKey-wide engagement events. Prepares drafts of communication for business leaders, as needed, and sends communications to the broader businesses. Owns the maintenance of regular business documentation. Able to anticipate the needs of the business and proactively work with business leaders to achieve business objectives.

Requirements

  • Associate degree or equivalent work experience in business or a related field.
  • Minimum 3-5 years of administrative support experience.
  • Expertise in Microsoft Office software applications.
  • Demonstrated ability to diagnose problems with critical thinking skills and detail orientation, as well as to drive appropriate solutions with self-initiative and sensitivity.
  • Demonstrated strong mathematical skills.
  • Superior listening, collaboration, teamwork, organizational, time management, and interpersonal skills.
  • Strong relationship-building skills.
  • Excellent customer service, facilitation, conflict management skills, and ability to teach, coach, and mentor others.

Qualifications

  • Minimum qualifications include an associate degree or equivalent work experience in business or a related field.
  • Minimum 3-5 years of administrative support experience.

Pay

$58,700 - $71,700 annually, based on experience and qualifications.

Schedule

Monday through Friday. Occasional evening and weekend work may be required as job duties demand. Travel to ArchKey offices nationwide is required as needed.
