About the role
The purpose of the Office Administrator is to ensure the smooth, consistent, and efficient operation of the office environment, providing critical support to both internal teams and external clients. This role serves as a central point of contact, fostering positive communication, proactively resolving issues, and maintaining a high standard of professionalism and organization. By effectively managing administrative tasks and contributing to a collaborative workspace, the Office Administrator directly supports the productivity and positive image of Annex.
Responsibilities
- Respectful Communication: Actively listens to client requests, uses professional language, responds promptly and courteously, maintains confidentiality; communicates project updates effectively
- Problem Solving and Initiative: Identifies, analyzes, and resolves problems efficiently, considers different solutions and implements the best course of action, handles scheduling conflicts or escalated clients, collaborates to overcome project challenges
- Work Ethic: Demonstrates professionalism, diligence, reliability, punctuality, and organization. Takes responsibility for work quality, maintains professional appearance and meets deadlines consistently
- Willingness to cover at our Headquarters as needed!
Requirements
- Proven Experience: 1+ years of office administration or office coordinator experience
- Education: Associate or bachelor's degree
- Industry Exposure: Experience working in a fast paced, team environment
- Communication Skills: Strong verbal and written communication for interacting with colleagues, clients, and vendors
- Organizational Skills: Ability to manage files, schedules, and tasks efficiently
- Time Management: Prioritizing tasks and managing time effectively to meet deadlines
- Technical Proficiency: Familiarity with office software like Microsoft Office Suite, email systems, and other relevant tools
- Problem-Solving Skills: Ability to address and resolve issues that arise in the office environment. Working collaboratively with team members to become subject matter experts (SME’s) to support other departments
- Attention to Detail: Ensuring accuracy in tasks such as data entry, scheduling, and document management
- Multitasking: Handling multiple tasks simultaneously without compromising quality
- Adaptability: Being flexible and able to adjust to changing office dynamics and priorities
- Teamwork: Collaborating effectively with colleagues and contributing to a positive work environment

Compensation is commensurate with experience.
Schedule
