About the role
The Safeguards Science and Technology Group (NEN-1) is seeking a motivated, customer-service-oriented Administrative Assistant to provide administrative and operational support to a dynamic organization supporting national security missions.
Responsibilities
- Provide administrative support to group management and staff, ensuring the smooth execution of day-to-day business operations.
- Manage multiple competing priorities, providing outstanding customer service, maintaining attention to detail, and exercising sound judgment in resolving routine administrative issues.
- Work effectively in a fast-paced environment while maintaining professionalism, discretion, and confidentiality.
Requirements
- Demonstrated experience performing administrative support functions in a professional office environment.
- Advanced computer skills using Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Demonstrated ability to learn and use Laboratory business systems such as Oracle, Concur, Ariba, FVTS, and related systems.
- Demonstrated ability to organize, prioritize, and complete multiple tasks simultaneously.
- Ability to work effectively under deadlines and changing priorities.
- Strong attention to detail and accuracy.
- Excellent customer service, verbal communication, and written communication skills.
- Ability to work effectively with individuals at all levels of the organization.
- Ability to work with sensitive information appropriately.
- Demonstrated record of dependability, attendance, and professionalism.
Qualifications
- High School Diploma and three years of related experience, or an equivalent combination of education and experience directly related to the occupation.
- Additional administrative training, certifications, or education are desirable.
Skills
- Experience supporting technical, scientific, engineering, or research organizations.
- Experience with LANL business systems, including:
- Oracle Time & Labor
- Concur travel
- Ariba
- Oracle HR
- FVTS
- Experience coordinating domestic and foreign travel.
- Experience coordinating visitors, including non-U.S. citizens.
- Experience supporting training activities and the UTrain system.
- Designated Procurement Representative (DPR) experience.
- Experience building effective working relationships across organizations.
- Experience supporting meeting and event logistics.
