Office & Admin Specialist Int- MSAD
Location: Faribault
Full-time, unlimited (12-month) position with the Minnesota State Academies.
About the role
The Office & Admin Specialist provides administrative support to a supervisor and/or director and the staff in the education department at the Minnesota State Academy for the Deaf (MSAD).
Responsibilities
- Provide assistance and direction in a variety of office tasks to ensure efficiency, communication, and productivity in the department.
- Update and utilize student information systems, databases, and documentation systems with current information following direction from supervisors.
- Manage student and staff attendance on the MSAD campus, including receiving morning calls, arranging substitute coverage, and communicating with transportation companies, Faribault Public Schools, related services, and interpreters as needed.
- Track daily attendance of all absences, inform substitute teachers or paraprofessionals of changes, and transmit lesson plans and instructional materials.
- Serve as a notetaker in meetings.
Requirements
- Proficiency in American Sign Language (ASL) at the required level (as measured by SLPI evaluation).
- Experience in office administration, including handling phone calls, emails, and communication with various stakeholders.
- Strong communication skills to interact with students, families, interagency partners, and staff.
- Knowledge of student information systems and databases.
- Strong organizational skills to maintain calendars, schedules, and office records.
- Experience creating and distributing professional-level communication via multiple platforms.
- Ability to lift up to 50 pounds (with assistance) and to sit, stand, and walk throughout a workday.
- Employment is contingent upon a successful criminal background check within the past 12 months.
Preferred Qualifications
- Experience working with Deaf, Hard-of-Hearing, and Deaf/Blind individuals in an educational setting.
- Experience processing off-campus activity requests and coordinating logistics with multiple departments.
- Experience preparing and distributing mass communication announcements (e.g., daily announcements, newsletters).
- Background in organizing and participating in school events, such as orientations, graduations, and field trips.
Pay
$21.12 - $28.01 / hourly
Schedule
Day shift (7:30 AM – 4:00 PM), Monday – Friday
