About the role
The Anishinaabe-gikendaasowinan Administrative Assistant provides comprehensive administrative, office management, and reception support for Anishinaabe-gikendaasowinan academic and community-based programs, the WINHEC accreditation process, the Dadibaakonigewin Cultural Oversight Board, and the Ojibwe Language Revitalization Board. This is an 8-year grant-funded position.
Responsibilities
- Provide administrative support to the Anishinaabe-gikendaasowinan academic and community-based programs, the WINHEC accreditation process, the Dadibaakonigewin Cultural Oversight Board, and the Ojibwe Language Revitalization Board.
- Handle incoming calls and emails, respond to inquiries, and schedule appointments.
- Manage and maintain records and files for various programs and boards.
- Coordinate travel arrangements and logistics for board members and staff.
- Prepare and distribute correspondence, reports, and presentations.
- Assist with the procurement and maintenance of office supplies and equipment.
- Support the implementation and administration of grants and contracts.
- Ensure compliance with federal, state, and tribal regulations.
Requirements
- Knowledge of communications (reading, writing, and speaking) sufficient to perform the job duties described above in order to effectively communicate with both internal and external customers on the phone and in person.
- Ability to explain policies and procedures in a clear, concise, and professional manner to both internal and external customers.
- Skill in word processing sufficient to use software, such as Microsoft Word, to type and format letters, memos, reports, and minutes of meetings, etc., and use spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data, and use software, such as Microsoft PowerPoint, to create, format, and edit presentations.
- Skill in accounting sufficient to reconcile differences between invoices, receipts and purchase orders, and assess needs based on data and events affecting the account.
- Knowledge of math sufficient to add, subtract, multiply and divide numbers and use fractions, decimals and calculate percentages.
- Demonstrated organizational skills with exceptional attention to detail and accuracy.
- Ability to input, verify and edit data quickly and check input and output data for completeness, accuracy, and discrepancies.
Qualifications
- Associate's degree in Business, Office Administration, or a related field or equivalent office management experience.
- Experience working with Tribal communities, Indigenous organizations, and culturally diverse populations.
- Experience being in environments where Ojibwe Language is spoken primarily.
- Ability to create contracts including international contracts.
- Experience with Minnesota State project management systems.
- Demonstrated organizational and project coordination skills, including the ability to manage multiple priorities, work independently, and collaboratively, organize information, and meet deadlines.
- Experience supporting Ojibwe language or indigenous community programming.
