Full-time, unlimited position within the MN State Colleges & Universities system at Normandale Community College.

About the role

The Admissions Processing Specialist contributes to the college’s strategic enrollment initiatives, promoting a culture that supports diversity and inclusion. This position performs high-volume data entry, makes preliminary admission determinations, and ensures data integrity for Postsecondary Enrollment Options (PSEO), undergraduate, and international student admissions. Work is completed in compliance with Minnesota State system policies, state and federal data privacy laws, and college admissions policies.

The role uses specialized software such as the Minnesota State student database system (ISRS), Admit Gold (CRM), Perceptive Content (document imaging), COMM100 (student communication/ticketing), Power BI, and SharePoint. The position provides exemplary customer service to internal and external constituents and collaborates with Student Affairs and Academic Affairs to facilitate a student-ready admissions experience.

This role actively advances the college’s strategic goals, including achieving equity in educational outcomes and supporting a culturally responsive, service-oriented culture.

Responsibilities

  • Maintain complex records, files, notes, and logs.
  • Manage document and records systems for efficient organization and retrieval.
  • Review source documents, compare with database information, and edit as needed.
  • Accurately input, verify, and edit electronic data.
  • Locate, identify, and correct data entry errors.
  • Compile, research, and analyze information from databases.
  • Interpret and explain complicated program information (e.g., policies, procedures, eligibility requirements) to customers, clients, and coworkers.
  • Engage respectfully with clients and coworkers to resolve difficult or complex problems, including escalated complaints or disputes.

Requirements

  • Ability to understand and maintain complex records and files.
  • Experience with document and records management for efficient organization and retrieval.
  • Proficiency in reviewing, comparing, and editing documents against database information.
  • Skill in accurately inputting, verifying, and editing electronic data.
  • Ability to locate, identify, and correct data entry errors.
  • Experience compiling, researching, and analyzing information from databases.
  • Ability to interpret and explain complicated program information clearly.
  • Strong customer service skills, including handling difficult or complex problems and resolving escalated complaints.

Preferred Qualifications

  • One year or more of recent high-level data entry experience within a college or university setting.
  • Commitment to creating equitable experiences for diverse student populations.
  • Experience providing direct customer service in a college or university setting.
  • Ability to manage multiple concurrent priorities and meet established deadlines.
  • Knowledge of college, Minnesota State, federal, and local laws, rules, policies, and procedures pertaining to student data privacy (e.g., FERPA) and admissions.
  • Advanced knowledge of computer applications, including student record management systems, document imaging software, digital communication platforms, and CRM systems.
  • Professional working proficiency in Spanish, Somali, Hmong, or Russian.

Pay

$22.62 - $30.62 per hour ($47,230 - $63,934 annually).
