Office & Admin Specialist Sr
Location: St. Paul, MN – Full-time, unlimited (permanent) position. Telework eligible. Day shift, Monday–Friday.
About the role
This position provides reception and administrative support for the Management Resources (MR) section at the DNR Central Office. Duties primarily serve the Buildings and Sustainability program and also support the Design and Construction and Fleet programs as needed. Additional responsibilities include statewide card-access administration, reporting, and coordination of scheduled card replacements. The position serves as the primary backup for the Central Office lobby front desk and alternate backup for the Central Office mailroom.
Responsibilities
- Provide receptionist duties and administrative support to Operations Services Division/Management Resources program staff to ensure professional customer service for both internal and external clients.
- Administer statewide card access, including creation, activation, and deactivation of access cards; serve as primary backup to the front-desk receptionist.
- Assist the BAS Lease Coordinator and Buildings Operations Manager in administering the leasing program.
- Act as liaison between DNR staff and the building lessor’s authorized representative to manage maintenance, repairs, security, and general upkeep of the Central Office building.
- Handle purchasing tasks, including assisting staff with field and office purchases, and ensuring expense reports, purchasing card logs, and invoices are properly encumbered, coded, approved, and processed.
- Complete other duties as assigned to maintain top-level customer service for Operations Services and Management Resources customers.
Qualifications
- Ability to manage an office or work area by planning, organizing, administering, and directing the work of other employees.
- Skill in word processing (e.g., Microsoft Word) to type and format letters, memos, reports, and meeting minutes.
- Ability to create presentations, tables, charts, and/or graphs using word processing software.
- Skill in using spreadsheet applications (e.g., Microsoft Excel or Google Sheets) to enter, compile, store, and retrieve data.
- Ability to communicate in various formats to gather and relay information with tact and diplomacy.
- Skill in database management to develop tables and manipulate, retrieve, and analyze data.
- Ability to design and maintain recordkeeping systems.
- Ability to present information to diverse customers.
Preferred Qualifications
- Three years of experience in an advanced administrative support role.
- Basic Workplace Safety Certification or ability to complete within six months of hire.
- Organizational skills to facilitate statewide staff meetings and events.
- Knowledge of DNR Operations Services Division’s safety operational orders, policies, practices, and procedures.
- Ability to interpret DNR administrative policies, procedures, and documents necessary to carry out safety and facility duties.

Pay
$22.62 – $30.62/hour ($47,230 – $63,934/year).
