Smith County Health and Rehab is seeking a Medical Records/Central Supply Clerk to join our team. As our Medical Records Coordinator/Central Supply Clerk, you will play a vital dual role in supporting both clinical compliance and daily operational efficiency. From ensuring electronic medical records are complete, timely, and audit-ready to keeping nursing staff equipped with the supplies and equipment they need, your work will directly impact the quality of care our residents receive.
Responsibilities
- Check supply areas daily and stocks with required items.
- Fill requisitions from the nursing department for routine supplies and equipment in accordance with established policies and procedures.
- Ensure the facility has adequate emergency supplies.
- Maintain supply and storage rooms in an organized, clean, and safe condition in compliance with applicable local, state, or federal regulations.
- Ensure inventory is updated as required when receiving/issuing supplies and equipment. Rotates supplies to avoid loss of expired items.
- Ensure all purchase orders are properly prepared, signed, and submitted as required in procurement policies and procedures.
- Coordinate claims on damaged merchandise, errors in shipment, etc., and returns to vendor as required.
- Follow process to ensure supplies are tracked and charged appropriately.
- Checks invoices, purchase orders, packing slips, etc., against incoming merchandise.
- Ensures defective equipment is identified for maintenance and repair as required in accordance with established policies and procedures.
- Cleans and checks equipment as directed/necessary.
- Provides clerical support to the nursing department.
- Maintains quality results by following state and facility standards.
- Maintains continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.
- Maintains client confidence by keeping resident records information confidential.
- Serves and protects the resident community by adhering to professional standards, facility policies and procedures, federal, state, and local requirements.
- Enhances medical records and facility reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Qualifications
- Previous experience working in the healthcare or medical field preferred
- Knowledge of Health Information Management practices preferred
- Strong time management and organizational skills
- Excellent attention to detail and accuracy
- Ability to maintain professionalism in a fast-paced environment
- Strong productivity and multitasking abilities
- Thorough and detail-oriented approach to daily responsibilities
- Ability to effectively coordinate tasks and communicate across departments
- Deadline-oriented with the ability to prioritize responsibilities efficiently
- Strong internal communication and reporting skills
- Proficient computer and documentation skills preferred
