Medical Receptionist (BMG)

Reports to the Practice Manager and works under the direction of the Clinical Supervisor, Office Supervisor, and/or Office Coordinator.

Responsibilities

Reception and Clerical Duties

  • Receive and greet patients and visitors in a professional, cheerful manner and provide all reasonable assistance.
  • Check patients in for their appointments.
  • Answer the telephone and take and relay messages to clinical staff accurately.
  • Schedule patients with physician providers and maintain appointments with physician(s) rotation.
  • Obtain demographic and insurance information from the patient and accurately enter the data into the practice management system.
  • Ensure that the patient data in the practice management system is accurate by verifying insurance information with patient at each visit and updating patient accounts as needed.
  • Maintain patient records, enter charges, and post services performed by the provider.
  • Enter prescription refills into the electronic medical record and send them to the appropriate clinical staff for approval.
  • Schedule medical testing, procedures, ancillary services, and surgeries for patients.
  • Provide patient with instructions on the prep for scheduled procedure or test and follow up with written instructions when appropriate.
  • Obtain insurance pre-certification for patient procedures and ancillary tests or complete electronic medical record flow sheet and send information to the appropriate person.
  • Page physician when necessary and send information regarding call status and imaging assignments daily.
  • When applicable, enter data into specialty computer programs such as Carelink and Cardionet; ensure that orders are entered correctly and monitors are sent to patients.
  • Perform clerical duties including faxing, copying, typing notes, and memos.
  • Order office supplies and maintain adequate inventory of supplies.
  • Open and sort mail daily.

Basic Patient Care Duties

  • Assist the physician if necessary.
  • Escort patients to exam room in a professional and courteous manner in the absence of clinical staff.

Professional Development and Other Duties

  • Participate in committees as requested.
  • Enhance professional growth and development through in-service meetings and educational programs as approved.
  • Complete other job-related duties and projects as assigned.

Organizational Responsibilities

  • Attend and participate in department meetings and be accountable for all information shared.
  • Complete mandatory education, annual competencies, and department-specific education within established timeframes.
  • Complete annual employee health requirements within established timeframes.
  • Maintain license/certification, registration in good standing throughout the fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilize appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adhere to regulatory agency requirements, survey process, and compliance.
  • Comply with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Requirements

  • High school diploma or equivalent is preferred.
  • Minimum of 17 years of age.
  • A minimum of one-year related office experience, with medical terminology and coding experience, is preferred.
  • Ability to speak and write Spanish is desired.

  • Demonstrates good communication and telephone usage skills to effectively communicate both verbally and in writing to a variety of internal and external contacts.
  • Requires knowledge of billing and office procedures and proficient typing and computer skills to complete tasks in an accurate and efficient manner.
  • Demonstrates ability to work in a team environment with other clerical and clinical staff and with physicians.
  • Requires analytical skills necessary to solve patient problems and interpret data.

Working Conditions
