About the Role

The Materials Coordinator acts as a liaison to all departments requiring Supply Chain Operations services, performing functions related to administrative support, customer service, par levels, inventory management, specialty carts and kits, medical equipment, shipping/receiving, and off-site supply deliveries.

Responsibilities

  • Administrative:
    • Monitor PAR levels through MIN/MAX to support cost containment efforts.
    • Provide Lawson/Ariba data input and troubleshoot buyer messages and invoice discrepancies.
    • Act as a department liaison for customer service, resolving inquiries, product research, sourcing, and troubleshooting requisitions, purchase orders, billing, vendor backorders, returns, and recalls.
    • Communicate product information and changes effectively.
  • Communication:
    • Demonstrate effective interpersonal, verbal, and written communication skills in a positive and diplomatic manner.
    • Provide excellent customer service for supply chain functions and special inquiries.
  • Operations:
    • Count and replenish par level locations using available technology.
    • Maintain pars and recommend changes as needed.
    • Assist with inventory management by stocking shelves, rotating stock, performing cycle counts, and participating in physical inventory.
    • Clean, prepare, and replenish specialty carts, kits, and equipment.
    • Receive incoming freight from UPS, FedEx, and other carriers; prepare and ship outgoing freight.
    • Deliver supplies to off-site facilities as necessary.
    • Utilize computer systems, including handhelds, for Supply Chain Operations.
    • Support cost containment efforts by using resources wisely.
    • Adhere to all department, hospital, and corporate policies and procedures.
    • Maintain competency according to departmental policies, procedures, and protocols.
  • Compliance:
    • Ensure compliance with department, hospital, corporate, and Joint Commission policies/recommendations.
    • Accurately manage PAR levels, monitor replenish rates, and maintain appropriate stock levels through MIN/MAX reports.
    • Maintain competency in mandatory education requirements.
  • Process Improvement:
    • Identify opportunities for process improvement and share with leadership.
    • Collaborate with other departments or disciplines to achieve desired outcomes.
    • Maintain verbal and written communications with customers to develop and monitor quality processes.

Requirements

  • High school diploma required.
  • Experience in a healthcare setting.
  • Experience in inventory/logistics and related functions preferred.

Skills

  • Required:
    • Prolonged standing, manual dexterity, pushing, pulling, bending, stretching, and stooping.
    • Good visual acuity.
    • Ability to work in a stressful, fast-paced environment due to customer demands.
    • Ability to work prolonged periods inputting data into a computer using repetitious hand movements.
    • Ability to learn inventory control software systems and basic computer skills.
    • Physical ability to lift up to 35 lbs and handle objects weighing 21 to 50 lbs (lifting, carrying, pushing, pulling, moving).
  • Preferred:
    • Computer knowledge (Microsoft Outlook, Word, Excel).
    • Experience using pallet jacks, dock boards, and hand trucks.
