Responsibilities
- Cook up and serve all logistics of assigned group, from initial booking through meeting requirements and departure.
- Set the bar high with each individual Group Account sales manager.
- Start the ball rolling with an introduction letter, agenda, and any other relevant info.
- Host pre-convention meetings with meeting planners and all hotel operating department reps involved in the program.
- Keep a constant connection with clients, both verbally and with written confirmations of changes and updates.
- Pass on all correspondence to Sales Manager and Coordinator.
- Ensure all contract info is accurate and updated in iVvy group management platform.
- Check and tweak group room block inventory.
- Create rooming list cover sheets with detailed billing for each subgroup when necessary.
- Prepare and distribute estimated invoices and collect client payments.
- Aid in resolving billing discrepancies to everyone's satisfaction.
- Handle on-property sign requests.
- Arrange limo transfers approved by Director or Vice President of Sales.
- Distribute group resumes which include profiles, agendas, and requirements to all hotel operating departments two weeks before the group’s arrival.
- Welcoming main contacts every day to ensure all their expectations are met.
- Help main contacts with whatever they need or want to update.
- Provide personalized “on the floor” attention to all in-house programs.
- Conduct internal room night audits.
- Assist sales managers with VIP site inspections.
- Assist other CSM positions when needed.
- Participate in continuing education and management training provided by Hotel.
- Perform all duties as necessary for the success of the department.
- Do other tasks as requested by Director and Vice President of Sales.
- Memorize and comprehend company mission, vision statement, C.O.R.E. values, and goals.
Qualifications
- A High School Diploma is required.
- A College degree in Marketing, Hotel Management, or Business Administration is preferred.
- Two years’ experience in Hotel Sales is preferred.
- Knowledge of Ivvy, Microsoft Word, and Excel is preferred.
- Excellent written and oral communication skills are essential.
- A Driver’s License is required.
- Bilingual (Spanish) is preferred.
