About the role

The Local Facility Management Coordinator at Kuehne+Nagel is responsible for overseeing various administrative and facility-related functions to ensure the smooth operation of multiple locations. This role involves managing office supplies and inventory, coordinating building maintenance and repairs, administering security badges and access controls, managing vendor relationships, and processing location-related invoices and payments.

Responsibilities

  • Manage facility-related purchasing activities, invoices, payments, records, and vendor relationships in compliance with company policies.
  • Cook up office operations, including supplies, inventory, workspace organization, equipment maintenance, and utility monitoring.
  • Oversee facility services and support building maintenance, repairs, and workplace improvements.
  • Administer security access, badges, CCTV and alarm system coordination, and serve as the primary contact for security service providers.
  • Partner with Station Managers, Quality, Safety, and Health (QSHE), Finance, HR, and other stakeholders to ensure effective facility operations and compliance.
  • Support emergency preparedness programs, safety initiatives, and required facility reporting.
  • Afford office renovations, relocations, and other facility-related projects while tracking timelines and deliverables.
  • Promote a positive workplace experience through employee engagement initiatives and office events, where applicable.
  • Aid in onboarding activities, I-9 processing, purchase requisitions, temporary staffing coordination, and other administrative functions as required.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred.
  • 1+ years of experience in office administration, facilities coordination, workplace operations, or a related field preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment.
  • Excellent organizational, time management, and problem-solving skills, with strong attention to detail.
  • Eloquent verbal and written communication skills, with the ability to build positive working relationships across all levels of the organization.
  • Ability to work collaboratively in a team-oriented environment while proactively addressing operational needs.
  • Responsive, dependable, and professional, with a strong commitment to customer service and workplace support.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
