Schedule

Monday – Sunday, 35 hours per week (varies)

  • Saturdays: 4:00 PM – 6:45 PM (setup, coordinate mass ministers, adjustments, locking up)
  • Sundays: 8:30 AM – 12:30 PM and 5:00 PM – 6:45 PM (setup, coordinate mass ministers, adjustments, locking up)
  • Mondays: Bulletin creation, ministry scheduling, wedding follow-ups
  • Tuesdays: Day off
  • Wednesdays: Ministry scheduling
  • Thursdays: Wedding follow-ups, minister follow-ups, weekend mass review
  • Fridays: Weekend mass preparation, bulletin confirmation, minister training

About the Role

The Pastoral and Liturgical Coordinator is an integral member of the parish staff, responsible for facilitating and coordinating various pastoral and liturgical activities under the guidance of the Business Manager and the Pastor. The role requires a deep understanding of the Catholic liturgy, pastoral care, and a passion for serving the community.

Responsibilities

Pastoral Coordination

  • Coordinate and assist with pastoral activities including managing weddings from start to finish (initial meeting, rehearsal, and celebration), funerals (planning, meetings, and day-of coordination), and other sacramental celebrations.
  • Recruit, train, supervise, motivate, and support altar servers, lectors, ushers, and Eucharistic ministers, ensuring they understand their roles and responsibilities.
  • Provide pastoral support to parishioners in times of loss, such as during illness, bereavement, or crisis.
  • Supervise and coordinate Safe Environment training and compliance of all liturgical ministers.
  • Assist with Ministry Fairs.

Liturgical Coordination

  • Oversee the scheduling and training of liturgical ministers, including lectors, ushers, Extraordinary Ministers of Holy Communion (EMCs), and altar servers for Sunday and weekday masses.
  • Coordinate OCIA Rites.
  • Coordinate the environment for setup and decoration of the church for various liturgical seasons and special celebrations.
  • Maintain and stock sacristy (e.g., bread, wine, purificators, palms, ashes, Easter candle, etc.), as well as manage its expenses.
  • Coordinate communion and visits to homebound parishioners.
  • Work with the pastor and deacons to plan and prepare for liturgical celebrations, ensuring adherence to liturgical norms and traditions.
  • Collaborate with choirs and other stakeholders to enhance the quality of liturgical music and worship experience.
  • Set up for Baptisms, including Baptismal Font maintenance.

Administrative Duties

  • Maintain accurate records and follow-up of wedding packages, liturgical schedules, volunteer assignments, and pastoral activities.
  • Design the weekly bulletin with the assistance of the parish secretary.
  • Assist the Parish Secretary in the preparation and distribution of worship aids and other liturgical materials.
  • Assist with the weekly preparation of the bulletin and various forms of outreach to parishioners such as Flocknotes.
  • Communicate effectively with parishioners, volunteers, and staff members regarding pastoral and liturgical matters.
  • Collaborate with the parish office to ensure smooth coordination of events and activities.
  • Coordinate the parish Instagram and Facebook page by posting weekly.

Professional Development

  • Stay informed about developments in liturgical theology, pastoral care, and Catholic Church teachings.
  • Attend necessary workshops, conferences, and other educational opportunities to enhance skills and knowledge relevant to the position.
  • Participate in ongoing formation and spiritual enrichment programs provided by the parish or archdiocese.

Other Duties

  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of sacramental data when needed.
  • Review and respond daily to incoming emails.
  • Respond to and resolve inquiries and questions related to duties.
  • Adhere to safety training and protocols on a daily basis, taking precautionary measures to ensure safety and well-being.
  • Coordinate special events for the parish such as the parish picnic and annual gala, including setup, teardown, and volunteer coordination.
  • Assist in selling event tickets and processing credit card payments after masses.
  • Maintain sacramental records in accordance with Canon Law, overseen by the Pastor.
  • Assist the Church Secretary with the creation of advertisements in Canva or Publisher for upcoming parish events.
  • Support and uphold the philosophy of Catholicism and the mission of the parish.
  • Adhere to the Archdiocesan Code of Conduct and the faith and morals policy of the Catholic faith.
  • Protect the confidentiality of information or material obtained in service to the organization.
  • Take a solution-oriented approach in interactions and promote collaboration and commitment to the mission and vision of the organization.
  • Greet incoming parishioners at the door during weekend masses.
  • Assist with updating the parish website.
  • Perform other duties as assigned.

Requirements

  • Must be a practicing Catholic and active in a parish.
  • Ability to honor and maintain confidentiality.
  • Must work well with people of all walks of life and possess the ability to lead and train liturgical ministers.

Qualifications

  • High School Diploma or equivalent (required). Associate's Degree (preferred).
  • Minimum of 4 years of experience in Liturgical Ministry providing direct support.
  • Must be a baptized member of a Catholic parish faith community.
  • Must have dependable transportation and a Driver’s License. Must maintain valid Vehicle Insurance.
  • Compliance with Archdiocese Safe Environment requirements.
