Lead Patient Coordinator (Full Time)

About the role
Full-Time Lead Patient Coordinator at our Morristown Office. The Lead Patient Coordinator is responsible for assisting the General Manager with supervising front office duties and staff. Previous healthcare experience is required, with dermatology experience preferred.
Responsibilities
- Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, providers, Patient Coordinators (PCs), and Medical Assistants (MAs).
- Lead by example, maintain office presence, and uphold the highest level of professionalism.
- Assist the General Manager with finding coverage for necessary shifts in cases of call-outs, emergencies, or PTO.
- Train and supervise all front office staff. Ensure beginning and end-of-day checklists are performed and signed off daily.
- Conduct weekly meetings with fellow PCs and provide feedback to the General Manager to discuss employee progress and identify staff in need of re-training.
- Oversee front office staff to ensure scheduling tasks, cancellations, confirmations, and superbill entry are performed timely and correctly.
- Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
- Maintain a neat and orderly work area throughout the office.
- Maintain all office equipment, manage office supply inventory, and follow bi-weekly ordering protocol.
- Oversee the creation of new medical records for each patient, ensuring all necessary copies of insurance cards, referrals, and demographic information are obtained.
- Ensure staff correctly enters data into the system.
- Maintain confidentiality of all patient and employee information.
- Exhibit a strong understanding of and enforce CLIA, OSHA, and HIPAA regulations.
- Audit PC checklists and ensure closing duties are performed correctly, including securing cash deposits in the appropriate location.
- Possess thorough knowledge of all procedures performed at the office.
- Perform other duties as assigned by the supervisor on an as-needed basis.
Requirements
- 2–3 years of experience working in a dermatology or medical environment preferred.
- Experience using EMR software and patient scheduling systems preferred.
- Must be computer-savvy and familiar with Microsoft Word, Excel, and Outlook.
- Strong communication, interpersonal, and organizational skills.
- Excellent patient relations and customer service skills.
- Must be a professional, reliable, and dedicated employee.
- Strong critical thinking, problem resolution skills, and ability to multitask.
- Open availability to work weekdays and weekends.
Schedule
Full time, 30+ hours per week. Availability Monday through Friday with rotating Saturdays within operating hours of 7:00 AM–7:00 PM. Flexibility to assist in a team environment is required.

Pay
Hourly pay range: $21.50–$27.00.
