Lead Patient Coordinator (Full Time)

About the Role
Full-Time Lead Patient Coordinator at our Southhampton Office. The Lead Patient Coordinator is responsible for assisting the General Manager with supervising front office duties and staff. Previous healthcare experience is required, with dermatology experience preferred.
Responsibilities
- Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, providers, and staff.
- Lead by example, maintain office presence, and uphold the highest level of professionalism.
- Assist the General Manager with finding coverage for necessary shifts in case of call-outs, emergencies, or PTO.
- Train and supervise all front office staff, ensuring beginning and end-of-day checklists are performed and signed off daily.
- Conduct weekly meetings with fellow Patient Coordinators and provide feedback to the General Manager on employee progress and training needs.
- Oversee front office staff to ensure scheduling tasks, cancellations, confirmations, and superbill entry are performed timely and correctly.
- Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
- Maintain a neat and orderly work area throughout the office.
- Manage all office equipment, office supply inventory, and follow bi-weekly ordering protocol.
- Oversee the creation of new medical records, ensuring all necessary insurance cards, referrals, and demographic information are obtained and correctly entered into the system.
- Maintain confidentiality of all patient and employee information.
- Exhibit a strong understanding of and enforce CLIA, OSHA, and HIPAA regulations.
- Audit Patient Coordinator checklists and ensure closing duties, including cash deposits, are performed correctly.
- Possess thorough knowledge of all procedures performed at the office.
- Perform other duties as assigned by the supervisor on an as-needed basis.
Requirements
- 2-3 years of experience working in a dermatology or medical environment preferred.
- Experience using EMR software and patient scheduling systems.
- Computer proficiency with Microsoft Word, Excel, and Outlook.
- Strong communication, interpersonal, and organizational skills.
- Excellent patient relations and customer service skills.
- Professional, reliable, and dedicated work ethic.
- Strong critical thinking, problem resolution, and multitasking abilities.
- Open availability to work weekdays and rotating Saturdays within operating hours of 7:00 AM–7:30 PM.
- Flexibility to assist in a team environment and cover shifts as needed.

Pay
Hourly pay range: $21.50–$27.00.
Schedule
Full-time, 30+ hours per week. Availability Monday through Friday with rotating Saturdays within operating hours of 7:00 AM–7:30 PM.
