Essential Tasks And Responsibilities

  • Aid management with client contract negotiations.
  • Review and comprehend contract/work order and terms for both client and agents.
  • Collaborate with supervisor in developing project scope, budget, deliverables, and milestones and fulfill client needs.
  • Refine company standard operating procedures (SOP) in accordance with client specifics and stay updated on company SOPs, implementing project-specific SOPs.
  • Serve as the company's on-site representative for internal functions and attend client meetings, functions, etc.
  • Afford onsite audits and ensure report accuracy and use GIS reporting tools.
  • Attend initial project kick-off meetings and subsequent project conference calls.
  • Inform clients about potential cost overruns and scope changes promptly.
  • Collaborate with accounting to verify client invoices and follow up with clients.
  • Approve project-related expenses.
  • Manage direct reports and field personnel, handle office-related issues, etc.
  • Hold regular management meetings for enhanced communication and training.
  • Inform direct reports about potential client scope changes.
  • Align project delivery and services with shared services.
  • Generate and submit change order documentation for scope changes when necessary.
  • Monitor and coordinate staffing levels with the client.
  • Provide project reporting to the client according to the client's schedule or as directed by the supervisor.
  • Support the supervisor by offering guidance on staffing.
  • Assist with or approve disciplinary warnings and terminations in compliance with company policy and inform HR prior to any disciplinary action.
  • Offer coaching and training to assist direct reports in improving their performance.
  • Support the supervisor in developing plans and ideas for employee engagement.
  • Conduct performance reviews of direct reports and communicate with the supervisor.
  • Train direct reports and other key field personnel on new company processes.
  • Complete skillset matrices for direct reports and communicate with the supervisor.
  • Support sales and marketing departments with project cost estimates.
  • Communicate potential leads through the company-approved Customer Relationship Management tool (CRM).
  • Coordinate with marketing in identifying potential events and organizations for support.
  • Assist in preparing Requests for Proposal (RFP) and formal estimates.
  • Attend and volunteer at local association events.
  • Attend other industry-related seminars or events as deemed necessary by the supervisor.
  • Perform other duties as assigned.
  • Job Requirement

    • A bachelor’s degree is preferred.
    • Must hold a CPL or RPL certification for Upstream PMP.
    • Effective communication skills and attention to detail are essential.
    • Proficiency in Microsoft Office software and email is required.
    • Two to four years of supervisory experience.
    • At least six years of relevant industry experience.
    • Good understanding of legal aspects of project documents, area property values, general environmental issues, and permitting requirements.
    • Ability to work independently and collaboratively as a team player.
    • Pay close attention to details, demonstrate good planning, organization, and time management skills.
    • Willingness to assume additional or new responsibilities readily.
    • Ability to maintain regular attendance as per work schedule agreed with the manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted).
    • Comply with applicable laws and regulations and company policies and procedures.

    Work Environment and Physical Demands

    • Spend 100% of time in an office environment.
    • Regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear.
    • Occasionally required to stand, walk, stoop, kneel, or crouch.
    • Occasionally required to lift and/or move up to 25 pounds.
    • Specific vision abilities include close vision, distance vision, color vision, and the ability to adjust focus.
