Position Summary

The Labor Relations Assistant provides administrative and clerical support to the hospital's Labor Relations team. This entry-level position assists with scheduling meetings, maintaining records, and providing customer service to staff and union representatives. The role ensures the smooth daily operation of labor relations activities within a large, unionized hospital system.

Responsibilities

  • Serve as the first point of contact for the Labor Relations office by answering phones, responding to inquiries, and directing calls or visitors appropriately.
  • Schedule grievance hearings, labor-management meetings, and arbitration sessions; coordinate meeting logistics, collects supporting evidence from management, reviews, redacts patient identifiers and prepares materials.
  • Maintain organized filing systems—both electronic and paper files—for contracts, grievances, and labor documentation.
  • Assist in tracking grievance and disciplinary actions under the guidance of Labor Relations staff.
  • Prepare routine correspondence, meeting notes, and reports as directed.
  • Update tracking spreadsheets, contact lists, and department calendars. Tracks employee, corporate compliance complaints, documents follow up and close out of investigation outcome.
  • Support Labor Relations staff with preparing packets for negotiations and maintaining document confidentiality.
  • Coordinate messenger and mail services for time-sensitive labor relations materials.
  • Perform general office duties including photocopying, scanning, data entry, and inventory of office supplies.
  • Assists with investigation of employee issues.
  • Familiar with provisions of the collective bargaining agreements and provides direction as required.
  • Collects and manipulates data to generate various reports.
  • Completes assigned Labor Relations projects, as needed, such as year-end data reports.
  • Occasional travel between hospital campuses may be required.

Qualifications

  • Associate's degree or some college coursework in Human Resources, Business Administration, or related field preferred. Bachelor's degree highly preferred.
  • 1–2 years of clerical or office support experience; experience in a hospital or unionized setting a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with HR or case management systems preferred.
  • Strong organizational and communication skills with attention to detail.
  • Ability to handle confidential information with professionalism and discretion.
  • Comfortable managing multiple priorities in a fast-paced, team-oriented environment.

Pay

$17.29 - $25.94 Hourly.
