About the role
A Japanese manufacturing company is currently seeking a full-time, fully onsite Japanese Bilingual Office Administrator to join their Lexington, KY location.
Responsibilities
- Manage essential office operations with a focus on accounting and human resources.
- Ensure smooth financial processes, including Accounts Receivable, Accounts Payable, and Payroll management.
- Support HR functions and translate business documents between English and Japanese.
- Issue invoices, occasionally quotations and purchase orders as well.
- Track A/R balance and contact customers if needed.
- Pay bills as part of daily duties.
- Track employees’ work hours and paid time off days.
- Run payroll biweekly and prepare/submit the withholding taxes and forms.
- Prepare the state sales and use tax return on an annual basis (frequency might change).
- Report financial statements, such as profit & loss, balance sheet, and cash flow statement to Japan headquarters monthly.
- Work closely with an outside CPA to prepare corporate income tax returns.
- Process monthly closing, including bank accounts reconciliation.
- Handle employee benefits, such as health/dental/voluntary insurance and retirement plan.
- Record and maintain employee business mileage and travel expenses.
- Translate business documents from English to Japanese, or vice versa.
- Assist non-English speaking Japanese personnel in general professional and personal matters.
Qualifications
- Bachelor's degree in Business Administration, Accounting, or a related field preferred.
- Proven experience in office administration, accounting, and payroll processing.
- Strong knowledge of accounting principles and financial reporting.
- Excellent communication skills in both English and Japanese.
- Proficient in accounting software and Microsoft Office.
- Ability to work independently and as part of a team.
- Exceptional organizational and multitasking abilities.
- Previous experience working with corporate tax preparation is preferred.
