Essential Functions And Responsibilities
- Greet walk-in customers and answer incoming phone calls in a professional, courteous, and timely manner.
- Respond to customer voicemails and emails promptly, with a goal of responding within one business hour whenever possible.
- Build relationships by asking questions, actively listening, and identifying customer needs.
- Educate customers on available products, services, and solutions while recommending products that best fit their project and budget.
- Prepare accurate and timely quotations.
- Negotiate pricing within established company guidelines.
- Convert quotations into sales orders while providing an outstanding customer experience.
- Order Management
- Process customer orders accurately and completely.
- Ensure quotes and orders include: Accurate customer contact information, Billing and shipping information, Job site information, Appropriate vendor lead times, Expected delivery or ship dates.
- Communicate any potential delays to customers and internal sales staff as soon as they become known.
- Review all orders for accuracy before submission.
- Verify completed order entry to ensure information has been entered correctly.
- (When trained) Assist Outside Sales with material takeoffs from construction plans and blueprints.
- Customer & Project Coordination
- Coordinate with customers, Outside Sales, Shipping, Purchasing, and other departments to ensure timely fulfillment of customer orders.
- Assist with scheduling customer pickups and deliveries.
- Follow up with customers regarding special orders and material availability.
- Resolve customer concerns quickly while maintaining a high level of professionalism.
- Team Support
- Assist with onboarding and training new employees on front desk procedures and customer service expectations.
- Support other office and administrative functions as needed.
- Contribute to a collaborative team environment focused on continuous improvement.
Required Education & Experience
- High school diploma or equivalent.
- 2–5 years of experience in millwork, building materials, construction products, or a related industry.
- Strong customer service and relationship-building skills.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Attention to detail and accuracy.
- Proficiency with basic computer systems and Microsoft Office.
- Experience reading construction plans or blueprints preferred.
- Knowledge of windows, doors, millwork, kitchens, stairs, or related building products preferred.
- Experience with ERP or order entry systems preferred.
