Imaging Practice Manager
About the role
The Imaging Practice Manager at MedLink GA is responsible for overseeing the day-to-day operations, financial management, and administrative aspects of one or more diagnostic imaging centers. This role ensures efficient workflows, exceptional patient experiences, regulatory compliance, quality improvement, and financial performance.
Essential Duties and Responsibilities
Direct daily operations of the imaging practice(s).
Ensure efficient patient flow from scheduling through check-out.
Develop and monitor workflows that maximize patient access and minimize wait times.
Maintain business continuity across multiple imaging locations when applicable.
Lead operational improvement initiatives to increase efficiency and patient satisfaction.
Interview and retain high-performing employees.
Supervise front office staff, schedulers, authorization specialists, technologists, and administrative personnel.
Conduct performance evaluations and coaching sessions.
Develop employee schedules while maintaining productivity targets.
Address employee relations issues in collaboration with Human Resources.
Promote employee engagement and accountability.
Lead regular staff meetings and communicate organizational updates.
Manage departmental operating budgets.
Monitor productivity and staffing costs.
Review daily, weekly, and monthly financial reports.
Track key performance indicators including:
- Patience volume
- Exam utilization
- Revenue
- No-show rates
- Authorization turnaround time
- Accounts receivable trends
- Scheduling efficiency
Identify opportunities to improve financial performance.
Aid in annual budget planning.
Oversee prior authorization and precertification processes.
Maintain insurance verification accuracy.
Ensure timely charge capture.
Reduce denials through process improvement.
Collaborate with billing teams to resolve reimbursement issues.
Monitor payer requirements and regulatory changes.
Ensure compliance with:
- HIPAA
- OSHA
- CMS
- State regulations
- Accreditation standards (e.g., ACR, IAC)
Oversee quality assurance programs.
Investigate patient complaints and service recovery opportunities.
Monitor incident reporting.
Ensure documentation standards are met.
Coordinate regulatory inspections and audits.
Foster a culture of exceptional customer service.
Monitor patient satisfaction scores.
Address patient concerns promptly.
Implement patient-centered workflow improvements.
Build collaborative relationships with:
- Radiologists
- Referring providers
- Supervising physicians
- Executive leadership
Coordinate provider schedules.
Assist with provider onboarding.
Support physician satisfaction initiatives.
Communicate operational updates affecting providers.
Develop, monitor, and improve key operational metrics including:
- MRI utilization
- CT utilization
- Ultrasound utilization
- Mammography volumes
- X-ray throughput
- Average patient wait time
- Same-day scheduling rate
- Authorization turnaround time
- Patient satisfaction
- Staff productivity
- Referral growth
- Revenue per exam
- Denial rate
- No-show percentage
Optimize use of:
- Electronic Health Record (EHR)
- Radiology Information System (RIS)
- Picture Archiving and Communication System (PACS)
- Scheduling software
- Reporting dashboards
Partner with Information Technology to resolve system issues.
Assist with implementation of new technologies.
Build relationships with referring providers.
Participate in marketing initiatives.
Identify opportunities for service line growth.
Support outreach efforts to increase imaging referrals.
