Position Overview

Reporting to the Associate Human Resources Director, you will provide high-quality transactional and operational HR support across the School of Medicine. This position is the primary processor of employee lifecycle activity and provides oversight for SOM badging and courtesy appointments.

Key Responsibilities

  • Process requests for changes to Faculty and Staff HR records including job changes, status changes, and related employment actions across the full employee lifecycle, partnering with the MU Campus Core Administrative Processing Support (CAPS) shared services to ensure accurate and timely system updates.
  • Support hiring documentation for new staff vacancies with accuracy and adherence to UM System and MU campus timelines, coordinating with the CAPS shared services on posting, processing, and position management workflows.
  • Manage onboarding for new employees including uploading documentation into PeopleSoft, guiding departments through onboarding steps, and monitoring hire status to ensure completion in partnership with the CAPS shared services.
  • Exercise discretion in modifying standard work practices when situations require it, documenting exceptions and communicating adjustments to the appropriate HR Partner or supervisor.
  • Identify patterns in recurring transactions that indicate process gaps or inefficiencies, and surface recommendations to the Associate HR Director for improvement.
  • Serve as the primary point of contact and administrator for SOM badging requests, partnering with MUHC HR Operations, Medical Staff, and Staff Health to ensure access credentials are issued, updated, and deactivated in alignment with employment status, university security policy, and health system credentialing requirements.
  • Coordinate badging for new hires, transfers, role changes, and separations in partnership with department administrators and MUHC HR Operations, ensuring timely processing and clean audit trails across both SOM and health system workflows.
  • Manage the courtesy appointment process for SOM-affiliated individuals, including faculty, volunteers, researchers, and affiliate staff who require access, credentials, or system affiliations without a formal employment relationship, coordinating with Medical Staff and MUHC HR Operations to align credentialing and appointment records across entities.
  • Track courtesy appointment terms, renewals, and expirations — proactively initiating extensions or terminations and communicating status changes to departments, Medical Staff, Staff Health, and relevant university and health system offices.
  • Maintain accurate and organized records for all badging and courtesy appointment activity, ensuring compliance with university policy and readiness for audit or review.
  • Work alongside SOM Central HR team members to provide backup and cross-coverage for all HR tasks and functions related to the employment cycle.
  • Support HR Partners with data integrity checks, document routing, and HRIS lookups during peak workload periods or planned absences.
  • Bring issues, inconsistencies, and process breakdowns to the Associate HR Director proactively rather than waiting for problems to escalate.
  • Contribute to team planning and coordination in ways that improve the quality, timeliness, and effectiveness of HR service delivery.
  • Approach recurring work with an improvement mindset — actively looking for ways to reduce steps, eliminate redundancy, and increase throughput without sacrificing accuracy.

Shift

Monday – Friday 8:00 a.m. – 5:00 p.m.

Minimum Qualifications

An associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
