We are looking for a detail-oriented Human Resources (HR) Assistant to support daily HR operations for an organization based in Maine. This contract position is designed to provide hands-on assistance during a staffing transition, with a focus on employee lifecycle support, reporting, and administrative coordination.

Responsibilities

  • Coordinate new employee setup and separation activities, ensuring employment records, documentation, and required steps are completed accurately and on time.
  • Support employee onboarding by preparing paperwork, facilitating pre-employment steps, and helping new team members and volunteers move smoothly through orientation requirements.
  • Manage offboarding tasks, including tracking final documentation and assisting with the administrative closeout of employee files.
  • Prepare and submit incident-related documentation and follow each case through the appropriate reporting process until resolution.
  • Assist with workers’ compensation and leave-related claim administration, helping maintain organized records and timely communication.
  • Coordinate screening requirements and monitor completion status for candidates and other applicable individuals.
  • Enter and maintain employee information in HR systems, keeping records current, complete, and compliant.
  • Provide general administrative support to the HR function across two nearby onsite locations as needed.

Requirements

  • Prior experience in an HR support or HR assistant role with involvement in employee onboarding and offboarding.
  • Working knowledge of HR administration practices, including personnel records, employment documentation, and routine employee support.
  • Experience coordinating background checks and tracking pre-employment requirements.
  • Familiarity with incident documentation, workers’ compensation processes, and leave or claims administration, including FMLA-related matters.
  • Strong organizational skills with the ability to manage multiple priorities in a part-time, fast-moving environment.
  • Clear written and verbal communication skills and a detail-oriented approach when handling sensitive information.
  • Ability to work onsite and travel between two work locations that are approximately 20 minutes apart.
  • Proficiency with standard office systems and comfort learning HR-related platforms and workflows.

Schedule

This role offers a flexible 20-hour workweek, with the greatest need for coverage at the start of each week. The position is primarily onsite.
