Position Summary

The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the Company’s human resources department.

Roles & Responsibilities

  • Create new personnel files.
    • Avoiding loose paperwork.
    • Alphabetizing loose paperwork.
    • Retrieving rehire and terminated personnel files.
    • Compiling personnel files for subpoena requests.
    • Preparing legal files.
  • Verifications of Employment - The Work Number, State/Federal Agency Requests, EDD.
    • Handling supply requests.
    • Distributing to department.
    • Ensuring break room supplies are replenished.
  • Quarterly Meal Acknowledgement Forms.
    • Preparation and gathering.
  • Phone Calls, Visitors, Deliveries, and VOE’s.
    • Answering/Directing phone calls from multi-line phone system.
    • Greeting/Directing visitors.
    • Handling incoming and outgoing mail and packages via UPS, FedEx, DHL, and ACC.
    • Contacting the correct person to assist employees or visitors in the HR Lobby.
    • Collecting applications for employment from walk-in applicants.
    • Distributing to appropriate parties.
  • Company Mail Distribution.
    • Completing, preparing, and entering data for reporting purposes, i.e. forms, spreadsheets.
  • Processing Disability and Paid Family Leave claims on a daily basis.
    • Responding to Unemployment Claims via Equifax.
  • Law Compliance with FMLA/CFRA, ADA and other Leaves, and processing all requests for time off.
    • Entering all warnings, suspensions, and till variances in the UKG system.
    • Entering changes of address, phone number, and emergency contacts in the UKG system.
  • Translating documents from English to Spanish and vice versa for the HR Department.
    • Completing, preparing, and entering data for reporting purposes, i.e. forms, spreadsheets.
  • Assisting with employee acknowledgement forms – preparing packets for stores, auditing for completion.
    • Filing and organizing employee files.
  • Performing special assignments as requested.

Job Requirements

  • Education: High School Diploma or its equivalent.
  • Experience: Minimum of one year experience in professional office.
  • Knowledge: Microsoft Office (Word, Excel, PowerPoint).
  • Skills And Ability: Excellent Communication Skills, Ability to multi-task, Bi-Lingual (Spanish and English), Regular attendance and punctuality.

Pay Rate

$20.00 to $23.00
