Responsibilities
- Support the Vice President of Human Resources and General Counsel with scheduling, document preparation, correspondence, and other administrative needs.
- Respond to employee and applicant questions by clearly explaining workplace policies, procedures, and general HR guidelines.
- Maintain organized personnel, contract worker, and volunteer records while ensuring documents are current, accurate, and properly filed.
- Arrange meetings, webinars, and conferences, including preparing materials, coordinating logistics, and supporting annual HR event planning.
- Conduct background screening tasks and assist with onboarding activities to help new employees transition smoothly into the organization.
- Prepare and track monthly expense reporting, credit card reconciliations, employment verifications, and other routine HR-related reports.
- Attend investigation meetings, record detailed minutes, and handle sensitive information with professionalism and discretion.
- Assist with workers' compensation claim administration and communicate with insurance representatives, site contacts, Accounting, and internal teams on driver eligibility updates and project support related to HR, Payroll, IT, and Legal.
- Contribute to recurring HR reporting and provide general coordination support for department initiatives and special projects.
Requirements
- At least 1 year of experience in an HR assistant, administrative support, or related office support role.
- Strong organizational skills with the ability to manage files, records, and multiple priorities with accuracy.
- Ability to provide attentive customer service when assisting employees, applicants, and internal stakeholders.
- Experience handling confidential information with sound judgment and a high level of discretion.
- Comfort using HR or payroll systems such as Paycom for data entry and document management.
- Strong written and verbal communication skills, including the ability to prepare correspondence and meeting notes.
- Ability to coordinate schedules, meetings, and reports while maintaining close attention to detail.
- Familiarity with Veterans Administration-related processes or documentation is a plus.
Qualifications
Due to the nature of the work and onsite requirements, preference will be given to Hawaii residents. Applicants should be able to reliably commute or reside within the region to meet business needs.
