About the role
The HR Operations Coordinator supports the day-to-day execution of HR processes with a primary focus on onboarding, compliance, and employee experience. This role serves as a key point of contact for new hires and internal partners, ensuring accurate documentation, regulatory compliance, and a smooth, welcoming onboarding experience.
Responsibilities
- Prepare and distribute onboarding documentation and welcome kits for new hires.
- Serve as the primary point of contact for all onboarding-related questions and support needs.
- Follow up with new hires to ensure timely completion of all required onboarding paperwork.
- Conduct 45-day check-ins with new hires to gather feedback and support early engagement.
- Collaborate with Benefits, Payroll, Training, and other teams to ensure a seamless and supportive onboarding experience.
- Collect, organize, and process new hire documentation in UKG, including employee agreements, payroll forms, and I-9/E-Verify documentation.
- Write TN Visa Letters as requested.
- Complete re-verifications for Onboarding as needed.
- Oversee and maintain I-9 and E-Verify compliance procedures in accordance with federal requirements.
- Upload I-9 and E-Verify documentation into the CRM system in alignment with Compliance standards.
- Confirm that each Healthcare Professional (HCP) has a signed assignment contract prior to start.
- Inform the Benefits Team of any changes to new hire start dates.
- Complete employment verifications as requested.
- Partner closely with internal HR teams to ensure accurate records and consistent processes.
- Support ongoing projects and process improvements related to onboarding and HR operations.
Requirements
- Bachelor's or associate degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and relevant work experience.
- 1-3 years of experience in HR, onboarding, compliance, or administrative support.
- Working knowledge of I-9 and E-Verify requirements.
- Strong organizational skills with a high level of attention to detail.
- Able to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Able to handle confidential and sensitive information with discretion.
- Experience working in healthcare staffing or a regulated environment.
- Experience using HRIS systems (UKG & ADP preferred).
- Familiarity with CRM systems and document management processes.
- Customer-service mindset with a focus on employee experience.
