We are looking for an HR Compliance Coordinator to support key administrative and compliance-related activities for a retail organization in Chesapeake, Virginia. This is a long-term contract position.

About the role

This role focuses on coordinating claim intake, handling incoming correspondence, and working with external partners to keep HR compliance processes organized and responsive. The ideal candidate brings strong attention to detail, solid inbox and document management skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Coordinate the intake and submission of wage and hour matters, ensuring each case is accurately logged and routed for follow-up.
  • Prepare vendor-related documentation and help facilitate payment processing when time-sensitive requests arise.
  • Sort, review, and direct daily incoming mail to the appropriate contacts to support efficient handling of compliance-related materials.
  • Serve as a point of coordination with third-party providers that support labor law and employment posting requirements.
  • Maintain organized records for claims, correspondence, and vendor documentation to support audit readiness and operational accuracy.
  • Monitor shared inboxes and communications channels to ensure requests are acknowledged and assigned promptly.
  • Track open items and follow up with internal teams or external partners to help move issues toward resolution.

Requirements

  • At least 1 year of experience in HR coordination, compliance support, claims administration, or a related administrative function.
  • Experience managing inboxes, documentation, and case-related communications with accuracy and discretion.
  • Familiarity with claims processing or claim administration in an office environment that requires strong attention to detail.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Clear written and verbal communication skills for working with internal stakeholders and outside vendors.
  • Proficiency in standard business systems and office software used for tracking, documentation, and correspondence.
  • High attention to detail and a dependable approach to handling sensitive information.
