About The Role
We are seeking a detail-oriented and service-focused Benefits Coordinator to support the administration of employee benefit programs throughout the employment lifecycle. This role helps employees navigate enrollment, qualifying life events, claims, premium payments, and benefit-related questions while ensuring accurate data administration, timely processing, and regulatory compliance. The Benefits Coordinator works closely with Human Resources, Payroll, insurance carriers, third-party vendors, and employees to maintain benefit coverage, support data integrity, and deliver a positive benefits experience.
Key Responsibilities
- Assist the Benefits Manager with the administration of employee benefit programs, including:
- Medical, dental, and vision insurance
- Flexible spending accounts and health savings accounts
- Life and disability insurance
- Accident coverage
- Wellness programs and other employee benefits
- Conduct benefits orientations and explain the benefits self-enrollment system as needed.
- Set up and administer monthly benefit enrollment and annual open enrollment activities within the HRIS.
- Maintain accurate employee benefits records and process benefit changes in the payroll system for proper payroll deductions.
- Process employee life event enrollments in accordance with applicable regulations and plan guidelines.
- Process payroll adjustments and premium arrears related to benefit deductions as needed.
- Upload and monitor vendor EDI files for health plans, flexible spending accounts, health savings accounts, and COBRA.
- Assist employees with health, dental, life, disability, and other benefit-related claims.
- Serve as a backup for reviewing monthly premium statements for group insurance policies.
- Assist with resolving administrative issues with insurance carriers and vendor representatives.
- Support the administration of COBRA-related matters and communication with the COBRA administrator.
- Prepare census reports and other benefits-related data reports as needed.
- Coordinate meetings and information sessions to help employees understand company benefits and related incentive programs.
- Assist with preparing benefits communications, including newsletters, email communications, and informational materials.
- Support the Benefits team with required benefits reporting and compliance activities.
- Prepare and distribute premium arrears invoices for employees on leave or otherwise responsible for direct premium payments.
- Track outstanding balances, monitor payment status, apply payments accurately, and coordinate collection efforts in accordance with company policies and plan requirements.
- Maintain detailed records of arrears balances and payment activity; research discrepancies and collaborate with Payroll and Human Resources to ensure accurate deductions and reconciliations.
- Assist with Affordable Care Act compliance activities, including:
- Eligibility tracking
- Measurement and stability period monitoring
- Annual ACA reporting
- Employee and dependent data validation
- Preparation and distribution of required IRS forms and filings
- Follow the organization's corporate compliance plan.
- Participate in site-level Quality Improvement Activities, including evaluating site performance and supporting initiatives that improve the quality of care provided to patients.
- Perform related duties and special projects as assigned.
Required Qualifications
- One to two years of experience in benefits administration, payroll, human resources, or a related field.
- Knowledge of employee health and welfare plans, retirement plans, and wellness programs.
- Working knowledge of Affordable Care Act regulations and related benefits administration requirements.
- Strong attention to detail and ability to manage confidential information.
- Excellent organizational, communication, and customer service skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office, including Excel.
- Ability to work collaboratively with employees, HR, Payroll, insurance carriers, and benefits vendors.
Preferred Qualifications
- Experience working with an HRIS, payroll system, benefits enrollment platform, or vendor EDI files.
- Experience administering COBRA, premium arrears, life event enrollments, or ACA reporting.
- Experience in a healthcare or similarly regulated environment.
